Cafe bills that are as quick as the coffee
At a cafe, coffee shop or tea stall, bills are small and frequent. A table orders two cappuccinos and a sandwich; an office sends someone for twelve cutting chais; a student group stays all afternoon and keeps adding plates of Maggi. Most counters scribble the order on a pad, total it in their head and hand over a slip — fine until a customer asks for a proper bill, an office wants a monthly statement, or a busy evening leaves the day's takings impossible to reconcile.
This cafe bill generator keeps the speed and charm of a handwritten slip while doing the adding for you. Type the items and quantities, let the tool total them, and hand the customer a neat bill — printed, sent as an image on WhatsApp, or downloaded as a PDF. It works just as well for tea stalls, juice bars, college canteens and snack counters.
Cafe bill format
A cafe bill format is shorter than a restaurant's, and the narrower it is, the better it fits a counter. The cafe templates include:
- Header: cafe name, short tagline ("Fresh brews · All-day breakfast"), address, phone and, if registered, GSTIN.
- Order details: bill number, date and time, and either a table number, a token number or "Takeaway".
- Items: drink or dish, quantity, rate and amount. Add-ons — an extra shot, oat milk, extra cheese — go on their own lines or in brackets after the item.
- Totals: subtotal, loyalty or combo discount, tax if applicable, and the total.
- Footer: payment mode, Wi-Fi password or a thank-you line, and your Instagram handle if you like.
Tea stall bill format and tea shop bill book format
Tea stalls and tea shops sell many low-priced items, often to regulars who pay weekly or monthly. A good tea stall bill format therefore keeps one line per item type with a quantity column — "Cutting chai × 14 @ ₹12", "Bun maska × 4 @ ₹25" — rather than one line per cup. For an office or shop that runs a monthly account, write the month on the bill ("Tea supply — October 2026"), list each item with its total quantity for the month, and add any advance already received; the generator shows the balance due.
If you prefer the look of a printed tea shop bill book format, choose the bill book or carbon-copy style: ruled lines, a printed header and handwritten entries, exactly like the pads stationery shops sell. Unlike a paper book, you can download a copy of every bill for your own records.
How to make a cafe bill
- Choose a narrow template. The counter slip and torn slip styles feel like a cafe pad; the plain style suits a modern coffee shop.
- Set up your header with the cafe's name and contact details — saved in your browser for next time.
- Enter the order. Click the items to change them and use Add item for more. Quantity × rate is calculated for you.
- Apply any discount — a combo price, a loyalty card or a student discount — as a percentage or a fixed amount in Bill settings.
- Download or print. A thermal-size PDF (80 mm) prints on a receipt printer; a PNG goes straight to WhatsApp.
Cafe bill example

|---|---|---|---|
| Cappuccino (regular) | 2 | 160 | 320 |
| Extra shot | 1 | 40 | 40 |
| Masala chai | 1 | 60 | 60 |
| Grilled veg sandwich | 2 | 150 | 300 |
| Brownie | 1 | 110 | 110 |
| Subtotal | 830 | ||

| CGST 2.5% | 18.68 | ||
| SGST 2.5% | 18.68 | ||

Most cafes round a bill like this to ₹784. Add a small "Round off" discount line of ₹0.36 to show it on the bill.
GST on cafe and coffee shop bills
In India, a cafe or coffee shop serving food and drinks is treated like a restaurant for GST. A stand-alone cafe that is registered usually charges 5% GST (2.5% CGST and 2.5% SGST) without input tax credit, for dine-in and takeaway alike. A cafe inside a hotel whose rooms cost more than ₹7,500 a night is taxed at the hotel restaurant rate of 18%. Cafes and tea stalls under the composition scheme, and small stalls below the registration limit, do not add GST to the bill at all. Rates are revised from time to time; check the current rate before you print a large batch of bills.
People sometimes ask why some cafes charge more to eat in. In India the GST rate is the same for dine-in and takeaway at the same cafe, so a higher eat-in price is a business choice, not a tax. In the UK, the rules differ: hot food and food eaten on the premises are subject to VAT, while many cold takeaway foods are zero-rated, which is why eat-in prices can be higher there. If you bill in pounds, change the currency and rename the tax line "VAT".
Coffee shop bill book or digital slip?
A coffee shop bill book is cheap and needs no power, but it slows you down at rush hour and the carbon copies fade. Billing software is fast but costs money and needs setup. This tool sits in between: free, works on the phone already at your counter, gives you a handwritten-style bill that suits a cosy cafe, and keeps an exact copy. For a quick day, many owners write slips by hand and use the generator only when a customer wants a proper bill — for example a company claiming a team coffee meeting, or a customer who paid for an event booking.
Tea shop bill format in Word or PDF — and why this is easier
A common search is for a tea shop bill format in Word, or a tea stall bill format PDF to print in bulk. Those files work, but each bill still has to be added up by hand, and a Word file is awkward to edit on a phone. Here the tea shop bill format is already laid out: you type the items, the tool adds them, and you download the finished bill as a PDF or image. If you want pre-printed pads, you can also download a bill with your header and only one sample line, print it on A5, and fill the rest in pen.
Need the bill in Word? Click Word under the bill to download it as a .docx file, at the same A4, A5 or 80 mm thermal size as the PDF. It opens in Microsoft Word and Google Docs. The bill is placed in the file as a picture, so make any changes here and download it again.
The same applies to a cafe bill book or a tea stall bill book format with carbon copies. The book gives you a duplicate automatically; the generator gives you a downloaded copy instead — clearer, never smudged, and searchable by the bill number in the file name. Many small cafes use both: the bill book for quick cash sales, and this tool when a customer needs a proper bill.
Canteen bill for offices, factories and hostels
A canteen bill is usually a monthly statement rather than a per-order slip. List each item with the number served during the month — "Tea 420 cups @ ₹10", "Lunch thali 180 @ ₹70" — and the department or person billed. If the company pays an advance at the start of the month, enter it in Bill settings; the bill shows what is still due. For hostels and PGs that bill residents for meals, write the resident's name and room number in the customer line and the period covered beneath it.
Bills for canteens, juice bars and snack counters
- College and office canteens: bill a department or a class for a month of tea and snacks, with the month on the bill and quantities totalled.
- Juice bars: write sizes as part of the item ("Mosambi juice – large") so the rate is clear.
- Snack counters at events: use token numbers instead of table numbers and download all the bills at the end of the day.
- Catering a meeting: list the items, the number of people and a delivery charge, and add an advance if the client paid one.
Tips for faster, clearer cafe bills
- Use the menu's names — "Cold Coffee with Ice Cream", not "CCIC".
- Price add-ons separately so a customer can see why one coffee cost more.
- Show the time on dine-in bills; it helps when a table orders in rounds.
- Number every bill, including small ones, and keep the numbers running — it makes counting the day's sales simple.
- Keep the bill short. Customers glance at a cafe bill for seconds; a clean layout with the total near the bottom is easiest to read.
Keeping track of daily cafe sales
Whether a tea stall or cafe is profitable depends on how well you know your daily sales, and the simplest way to know them is a numbered bill for every order. At closing, the bill numbers tell you how many orders you served and the totals tell you the day's takings; compare them with the cash in the drawer and your UPI statement. Because each bill here is downloaded as a file with the cafe's name and type in it, you can keep a folder per day or month.
Related bill types
If your cafe is closer to a full restaurant, the restaurant bill adds table service details; bakeries and cake shops should use the bakery bill; and a street stall that wants a traditional book look may prefer the cash memo. All bill types are listed on the handwritten bill generator page.
Fair use
Bills for your own cafe, practice bills for hospitality students and design mockups are all fine. Please do not create a cafe bill for a purchase that did not happen or change the amount on a real bill — for example to claim a meal or meeting expense. That is fraud, and employers check.
