Repair bills that show the work, not just the total
Few bills are questioned as often as a garage bill. The customer left the car with "a strange noise from the front" and comes back to a bill with parts they have never heard of. A clear repair bill — the complaint, what was found, what was replaced, how much labour it took — turns that moment from suspicion into trust. It is also what insurers, fleet owners and companies ask for when they pay for repairs, and what the customer needs if a replaced part fails under warranty.
This car repair bill generator gives workshops, mechanics, two-wheeler garages and service centres a handwritten-style bill that separates parts from labour, records the vehicle and odometer reading, applies GST, shows advance and balance, and writes the total in words. Download it as a PDF on A4 for insurance and fleet files, or as an image to send on WhatsApp when the car is ready.

Engine oil is billed by the litre (3.5 × ₹520). This sample uses one GST rate for simplicity; if some parts carry a different rate, show the tax on those lines separately as your accountant advises.
Parts and labour: why they are separate
Keeping parts and labour on separate lines is the single most useful thing on a repair bill. Customers can compare part prices, insurers pay parts and labour under different rules (with depreciation applied to parts unless the policy has zero depreciation), companies sometimes reimburse only one of them, and warranties differ — a part may carry the manufacturer's warranty while your labour carries your own. In India, parts are supplies of goods taxed at their own rates, while labour is a service, commonly at 18%; in the September 2025 GST changes, most auto parts were brought to 18%. Check current rates for your parts.
Repair bills for insurance claims
For accident repairs under motor insurance, the workshop's bill is central. Insurers generally expect:
- the vehicle registration number, chassis number and policy or claim number;
- parts with part numbers, separated by type (metal, plastic, glass, rubber) where the insurer applies different depreciation;
- labour and painting charges listed separately;
- the workshop's GSTIN and a proper tax invoice;
- photos before and after repair, kept with the bill.
For cashless claims, the insurer pays the workshop directly after the surveyor's approval, and the customer pays only the deductible and depreciation. Never inflate a bill for an insurance claim — it is fraud, and surveyors check parts against damage photos.
Mechanic invoice for fleet and company vehicles
Fleet owners — taxi operators, transporters, companies with staff cars — want a mechanic invoice per vehicle per visit, with the registration number and odometer reading, so they can track maintenance costs per vehicle. Add the company name and GSTIN, and the purchase order or job approval reference if they gave one. A monthly statement listing each vehicle's bills helps them settle in one payment.
Bike repair bills
Two-wheeler garages use the same layout with lighter details: registration number, model, odometer, and lines such as "General service", "Engine oil 1 L", "Chain sprocket kit", "Clutch cable". Many bike repairs are quick walk-in jobs, so the counter-slip template works well. For EV scooters, note the battery and motor serial numbers for warranty.
Car maintenance bill format for periodic services
A periodic service is the most common job in any workshop, and a good car maintenance bill format makes it easy to see what was checked as well as what was replaced. Many workshops list the standard checks as a short note — "Brakes checked, coolant topped up, battery tested, tyre pressure set, all lights checked" — under the parts and labour lines. Customers notice the difference between a bill that says "General service ₹900" and one that tells them what the ₹900 covered. For cars under a manufacturer's warranty, write the service number ("3rd free service — labour free") so the warranty history stays clear.
Customers often search for a car maintenance bill generator to keep their own maintenance records. If you keep records for your own car, the honest way is to ask your workshop for its bill each time and keep the files together — not to recreate bills yourself. Workshops can make that easy by sending every bill on WhatsApp.
Car workshop bill format: job card to final bill
Most workshops work in three steps, and the same car workshop bill format can serve all three:
- Job card at intake — vehicle, odometer, fuel level, belongings in the car, visible damage, and the complaint, signed by the customer.
- Estimate — parts and labour expected, approved by the customer before work starts.
- Final bill — what was actually done and used, with any approved additions.
Change the title on the template for each step and keep the same job number, so all three documents link together.
Car repair invoice format for business customers
When the customer is a business — a company car, a rental fleet, a school van — use a car repair invoice format with the business's name, address and GSTIN under the bill details, the vehicle's registration number on every bill, and payment terms in the footer. Businesses can usually claim input tax credit only on certain vehicle repairs, depending on how the vehicle is used, so a correct tax invoice from you matters to them.
Mechanic receipt for roadside and doorstep repairs
Mechanics who repair vehicles at the roadside or at a customer's home often give no bill at all. A quick mechanic receipt — vehicle number, the fault, what was done, parts and labour, and the amount received — takes a minute on a phone and protects both sides if the repair fails. Use the counter-slip template and send it on WhatsApp before you leave.
Car repair bill format in Excel or Word
Workshops often use a car repair bill format in Excel or a car repair bill format in Word that someone made years ago. Those files tend to break when you add lines and rarely separate parts and labour totals. This generator gives you a vehicle repair bill format with all the fields ready, calculates parts, labour, GST, advance and balance, and downloads a clean PDF. If you keep a vehicle history in Excel, record the bill number, odometer and work done after each job.
Need the bill in Word? Click Word under the bill to download it as a .docx file, at the same A4, A5 or 80 mm thermal size as the PDF. It opens in Microsoft Word and Google Docs. The bill is placed in the file as a picture, so make any changes here and download it again.
What is the average car repair bill?
Customers often ask about the "average car repair bill". There is no meaningful single figure — a periodic service on a small hatchback and a clutch replacement on an SUV differ many times over — but you can make your bills easier to judge by writing the brand of every part, quoting the labour per job, and giving an estimate before starting any work above an agreed limit. Customers who receive an estimate first, and a bill that matches it, rarely dispute the total.
Estimates before the bill
For any job beyond a routine service, make an estimate first: the same layout with the title changed to "Estimate" and a validity note. Send it on WhatsApp and wait for approval before ordering parts. If you find more work once the car is opened, send a revised estimate. Keeping the approved estimate with the final bill avoids nearly every dispute at delivery.

Related bill types
Washing and detailing jobs fit the car wash bill; taxi operators billing passengers use the taxi bill; and selling a used vehicle needs a bill of sale. See all types on the handwritten bill generator page.
Fair use
Issue repair bills only for work your workshop actually did, with real parts and amounts. Making a repair bill for work that was not done — for an insurance claim, a company reimbursement or a dispute — is fraud.
