Taxi and cab bills that explain the fare
Taxi bills are among the most requested bills in India. Business travellers need them for expense claims, companies need them to pay cab vendors, families want them after an outstation trip, and drivers who run their own cab need to give a proper bill to win repeat customers. A good taxi bill doesn't just show a total — it shows the trip: where it started and ended, the kilometres, the rate, the waiting time, the tolls and parking, and the driver allowance for long trips.
This taxi bill generator gives cab owners, drivers, travel desks and tour operators a neat, handwritten-style taxi bill with all of that. Enter the opening and closing kilometres and the rate per km, add tolls and extras, and the tool works out the fare, GST if you are registered, and the total in words. Download it as a PDF or image and send it to the customer on WhatsApp straight after the trip.
Taxi bill format
- Header: taxi service or owner's name, phone, address and GSTIN if registered.
- Trip details: bill number, date, customer name, pickup and drop locations, start and end time.
- Vehicle and driver: vehicle type and number, driver's name.
- Fare: opening km, closing km, total km, rate per km — or a fixed package fare.
- Extras: waiting charges, tolls, parking, state permit or border tax, night charges, driver allowance.
- Totals: total, advance paid, balance, amount in words, payment mode and signature.
How taxi fares are calculated
Most taxi bills in India use one of these methods, and the bill should say which:
- Per km: (closing km − opening km) × rate per km. For example, 248 km × ₹13 = ₹3,224.
- Minimum km per day (outstation): many operators charge for at least 250 or 300 km per day even if fewer are driven. Write it on the bill: "Minimum 250 km/day".
- Package (local): "8 hours / 80 km" for a fixed price, with extra hours and extra km charged separately.
- Fixed transfer: airport or station drop at a fixed fare.
Tolls, parking and permits are passed on at actual cost; keep the receipts. Driver allowance (also called driver bata or DA) is charged per day or night for outstation trips.
How to make a taxi bill

- Enter your taxi service details once; they stay saved in your browser.
- Fill the trip: customer, pickup, drop, dates and times, vehicle number and driver.
- Enter kilometres and rate, or the package, and add tolls, parking and allowance as lines.
- Add GST and advance in Bill settings if needed.
- Download and send — PDF for companies, PNG for WhatsApp.

Taxi bill sample (outstation)
| Description | Qty | Rate (₹) | Amount (₹) |
|---|---|---|---|
| Kilometres (opening 45,210 – closing 45,768) | 558 km | 13 | 7,254 |
| Driver allowance | 2 days | 400 | 800 |
| Toll charges (as per receipts) | 1 | 640 | 640 |
| Parking | 1 | 120 | 120 |
| Total | 8,814 | ||
| Advance paid | − 2,000 | ||
| Balance | 6,814 | ||
Here the operator is not GST-registered. With a minimum of 250 km per day, the minimum would be 500 km; 558 km were driven, so the actual km are charged.
Taxi bill GST rate and taxi bill with GST number
Passenger transport by taxi or rented cab is a taxable service. Most cab operators charge 5% GST without input tax credit; an option with input tax credit at a higher rate also exists for rent-a-cab services, and the rates were revised in the September 2025 GST changes — confirm the current rate with your accountant. A taxi bill with GST number must show the operator's GSTIN, a running bill number, the taxable value and CGST and SGST (or IGST for inter-state trips). Many individual drivers and small operators are below the registration limit (₹20 lakh a year for services in most states) and cannot charge GST; their bill shows the fare only — a taxi bill without GST.
Is a taxi bill allowed for LTA?
Generally not in full. Leave Travel Allowance covers the cost of travel within India, and for journeys by road the exemption is limited to the fare of first-class or deluxe-class travel by recognised public transport on the shortest route, where there is no rail connection. A private taxi bill is therefore usually accepted only up to that equivalent amount, if at all — and LTA is available only under the old tax regime. Check your employer's LTA policy before submitting taxi bills.
How to get a taxi bill (for passengers)
Passengers often search for how to get a taxi bill or a cab bill after a trip. For app-based cabs such as Ola or Uber, the invoice is in the app under your ride history, and is usually emailed after each ride. For a local taxi or travel operator, ask the driver or the operator for a bill with the vehicle number, date, route and amount — operators who make bills here can send it on WhatsApp in a minute. Never make your own taxi bill for a trip you took with someone else; it won't match their records.
Taxi bill format in Word, Excel or PDF
Drivers and small operators often look for a taxi bill format in Word, a taxi bill format in Excel or a cab bill format to fill in after each trip. These need a computer and break easily. This generator works on the driver's phone, calculates kilometres × rate, extras and balances, and downloads a taxi bill format PDF or image immediately — the customer has the bill before they leave the car.
Need the bill in Word? Click Word under the bill to download it as a .docx file, at the same A4, A5 or 80 mm thermal size as the PDF. It opens in Microsoft Word and Google Docs. The bill is placed in the file as a picture, so make any changes here and download it again.
Taxi bill book
Many drivers also keep a simple log of every trip — date, customer, route and km — which makes month-end accounts and vehicle-service planning easier.
The printed taxi bill book format with columns for km, rate, toll and DA is still common. Keep using it if you like, but make the bill here when a company or a customer needs a neat bill — the totals are always right, and the downloaded copy proves exactly what was charged if a company's travel desk asks months later.
Corporate and monthly cab bills
Operators supplying cabs to companies usually bill monthly. List each trip as a line — date, employee, route, km and amount — or attach a trip sheet and show weekly totals. Add the company's name and GSTIN under the bill details, write the purchase order or contract number if there is one, and the payment terms in the footer. Employees signing trip sheets at the end of each ride saves most disputes.
Airport, railway station and local packages
Not every trip is billed by the kilometre. Airport and station transfers are usually a fixed fare from a zone, sometimes with an extra charge for night pickups or waiting beyond a free period (often 30–45 minutes for flights). Local city packages are sold as hours and kilometres — "4 hours / 40 km", "8 hours / 80 km" — with extra hours and extra kilometres billed at set rates. On the bill, write the package name, the reporting and release times, and any extra hours or km on separate lines, so the customer can check them against their own timings. Parking at airports is often charged by the time spent; keep the parking slip.
Tempo travellers and group trips
For group tours in a tempo traveller or a mini-bus, the bill is similar but the numbers are bigger: a higher rate per km, a higher daily minimum, driver allowance, and sometimes state entry taxes when crossing borders. Write the vehicle's seating capacity ("12-seater Tempo Traveller") and the number of passengers. Groups often split the cost, so a clear per-day breakdown helps the organiser collect from everyone.
Tips for clear taxi bills
- Always write opening and closing km — it is the first thing a travel desk checks.
- Pass tolls and parking at actual cost and keep the receipts.
- Write the vehicle number and type (Sedan, SUV, Tempo Traveller).
- Print the route ("Delhi – Agra – Delhi") for outstation trips.
- Write night charges and allowances as separate lines with their basis.
Taxi bill checklist
Before you hand over or send the bill, a ten-second check catches most mistakes:
- Opening and closing km, and total km.
- Pickup, drop and route with dates and times.
- Vehicle number and type, and driver’s name.
- Tolls and parking at actual cost.
- Driver allowance and night charges with their basis.
- Advance and balance, and GST only if registered.
Related bill types
Tour packages with hotels and tickets fit the travel agency bill; goods vehicles and tempo hire use the transport bill; and cab repairs go on the car repair bill. See all types on the handwritten bill generator page.
Use taxi bills honestly
Taxi bills are among the most misused bills in expense claims, and companies now check them against routes, dates and operators. Issue taxi bills only for trips your vehicle actually made, with the real km and amounts. Making a bill for a trip that did not happen, or inflating km or tolls, is fraud.
