Electronics and computer shop bills customers keep for years
An electronics bill is the document a customer reaches for when something goes wrong: the laptop won't boot in month eleven, the AC compressor fails, the TV panel cracks in transit. The manufacturer will ask for the bill, the serial number on it and the date. Companies ask for it to reimburse equipment, and the tax department may ask for it if the purchase is claimed as a business expense. A bill without a model or serial number is almost useless for all of this.
This electronics bill generator gives computer shops, laptop dealers, appliance stores and repair shops a clean, handwritten-style bill with columns for model, serial number and warranty, lines for installation and delivery, and automatic totals, GST and amount in words. Download it as a PDF on A4 for warranty files, or as an image to send on WhatsApp.
Electronics bill format
- Header: shop name, address, phone, email, GSTIN and authorised dealer details.
- Bill details: bill number, date, customer name, address and phone; the customer's GSTIN for business purchases.
- Item lines: product with brand and model, serial number, warranty period, quantity, rate and amount.
- Services: installation, delivery, software installation, data transfer, extended warranty.
- Totals: subtotal, discount, GST (CGST and SGST, or IGST for another state), total and amount in words.
- Footer: warranty terms, payment mode or EMI details, and signature.
Computer shop bill format and laptop bill format
A computer shop bill format and a laptop bill format need a few extra details beyond a normal retail bill:
- Configuration: processor, RAM, storage and screen size — "Laptop 14", i5, 16 GB, 512 GB SSD".
- Serial number: printed on the laptop's base and box; essential for warranty.
- Software: operating system and any licensed software included, with licence keys kept off the bill.
- Assembled PCs: list every component — motherboard, CPU, RAM, SSD, PSU, cabinet, monitor — with its serial number and warranty, because warranties are per component.
How to make a laptop bill
- Choose an electronics template — the model, serial and warranty columns are ready.
- Fill in your shop's header with GSTIN; it is saved in your browser.
- Enter the laptop with brand, model and configuration, the serial number, warranty period and price.
- Add accessories and services — bag, mouse, antivirus, data transfer — with Add item.
- Add GST in Bill settings and the customer's GSTIN if it is a business purchase.
- Download the PDF and send it to the customer as well as printing it.

The rates here are before tax; enter them that way and add CGST and SGST rows at 9% each. If your prices include GST, leave the tax rows off and write "Prices inclusive of GST" in the footer.
GST on electronics
Most electronics in India — laptops, computers, mobile phones, printers and accessories — attract 18% GST. Following the September 2025 GST changes, air conditioners, larger televisions and some other appliances that were taxed at 28% moved to 18%. Repair and installation services are generally taxed at 18% as services. For a sale to a customer in another state, IGST replaces CGST and SGST. Rates are revised from time to time, so check the current rate for each product. A shop below the registration limit or under the composition scheme must not add GST.
Computer shop bill terms and conditions
- "Warranty as per manufacturer; claims at authorised service centres with this bill."
- "No warranty for physical damage, burn marks, liquid damage or broken seals."
- "Data backup is the customer's responsibility before any service."
- "Software installed is licensed to the customer as listed; no pirated software is installed."
- "Goods to be checked at delivery; report transit damage within 24 hours."
Terms should match what the manufacturer offers and must not deny a customer's statutory rights for defective goods.
Computer repair bill format
A computer repair bill format is a job sheet and a bill in one. Write the device, model and serial number; the problem reported; the diagnosis; parts replaced with their serial numbers and warranty; labour charges; and the received and delivery dates. Record the device's condition and accessories received (charger, bag) on intake. If the customer approved a quote by phone or WhatsApp, note the date. Enter any advance in Bill settings to show the balance at delivery.
Appliances: TVs, ACs, refrigerators and washing machines
For appliances, add installation, stand or bracket, stabiliser and delivery as separate lines, and write the model and serial number of both indoor and outdoor units for split ACs. Note the installation date if it differs from the bill date — some manufacturers count warranty from installation. For exchange offers, show the old appliance's value as a discount line.
Help customers register their warranty: many brands ask buyers to register the product online with the bill date and serial number, and a clear bill makes that a two-minute job. Some shops print a line in the footer — "Register your warranty on the brand's website within 30 days" — which saves service calls later. For appliances sold on finance, write the finance company and loan number in the footer so the bill matches the loan papers.
Electrical shops: wires, switches and fittings
Electrical shops selling wire by the metre or coil, switches, MCBs and fittings can use the same templates. Write the brand and specification ("Copper wire 1.5 sq mm, 90 m coil"), use metres or pieces as the quantity, and the tool calculates the amounts. Contractors usually want one bill per site — write the site address under the customer details.
Computer shop bill format in Word or Excel
Shops look for a computer shop bill format in Word or a computer shop bill format Excel template because they want serial and warranty columns and GST calculations. This generator has them ready, runs on a laptop, desktop or phone, and downloads a PDF that prints cleanly — no file to keep updated. If you maintain a stock register in Excel, note each serial number and bill number when the item is sold.
Need the bill in Word? Click Word under the bill to download it as a .docx file, at the same A4, A5 or 80 mm thermal size as the PDF. It opens in Microsoft Word and Google Docs. The bill is placed in the file as a picture, so make any changes here and download it again.
Laptop bill format in Excel vs. a ready bill
A laptop bill format in Excel is a common request from small dealers who sell a few laptops a week. The difficulty is that every laptop line needs a long description, a serial number and a warranty, and Excel rows get messy when text wraps; printing then cuts columns. Here the layout is fixed for you, long descriptions wrap neatly, and the PDF prints on A4 exactly as it looks on screen.
Corporate and bulk orders
Offices buying ten laptops or a set of printers want one bill with every unit listed. Write each unit as its own line with its serial number — or one line per model with all serial numbers listed in a note — plus the company's name, billing address and GSTIN, and the purchase order number if they gave one. Delivery and installation can be single lines. Many companies pay after delivery, so add the payment terms ("Payment within 30 days of delivery") to the footer, and enter any advance received in Bill settings.
Refurbished and second-hand electronics
For refurbished or used laptops and appliances, write "Refurbished" or "Used" in the description, the condition grade, the serial number and the shop warranty you give — often three to six months. Keep a record of where you bought the item. Customers buying used equipment rely on your bill more than on any manufacturer's warranty, so be specific about what is covered.
Computer shop bill book
A computer shop bill book with carbon copies is fine for small accessory sales, but serial numbers and GST are hard to write neatly by hand. Use the bill book style here for the same look, with every bill calculated and kept as a downloadable copy you can search by date when a warranty claim comes in.
Electronics bill checklist
Before you hand over or send the bill, a ten-second check catches most mistakes:
- Brand, model and configuration on each product line.
- Serial number read off the product, not the box only.
- Warranty period written per item.
- Installation, delivery and extended warranty on separate lines.
- Customer GSTIN for business purchases.
- Prices clearly marked as before or including GST.
Related bill types
Mobile phone shops have their own mobile shop bill with IMEI fields; stationery and printing shops can use the stationery bill; and electricians billing for site work can use the construction and contractor bill. See all types on the handwritten bill generator page.
Fair use
Issue electronics bills only for products and services your shop actually sold, with real serial numbers and amounts. Making a laptop or appliance bill for something you did not sell — to support a reimbursement, warranty or insurance claim — is fraud.
