Mobile shop bills that hold up when it matters
A mobile phone bill from a shop is not just a receipt. Customers need it for the manufacturer's warranty, for phone insurance, for a police complaint or a block request if the phone is lost or stolen, for selling the phone later, and sometimes for a company reimbursement. That is why a good mobile purchase bill always carries the model, the IMEI numbers and the date — and why customers come back months later asking for a copy.
This mobile shop bill generator gives you a neat, handwritten-style bill with fields for model, colour, storage, IMEI and serial number, and lines for accessories, screen guards, repairs and labour. It adds up the bill, applies GST if you are registered, writes the total in words, and downloads as a PDF or image you can also send on WhatsApp — so the customer's copy is never lost.

Why the IMEI must be on the bill
The IMEI (International Mobile Equipment Identity) is a 15-digit number that identifies a handset; dual-SIM phones have two. Dial *#06# to see it, or check the box. With the IMEI on the bill:
- the manufacturer can match the bill to the phone for warranty service;
- an insurer can verify the claim;
- if the phone is lost or stolen, the owner can report it and request blocking through the government's Sanchar Saathi (CEIR) portal, where the purchase invoice helps;
- a future buyer can confirm the phone was bought legitimately.
Always type the IMEI carefully — one wrong digit makes the bill useless for all of these. A quick check is to read the IMEI back from the phone's own screen after you type it.
Is GST applicable on mobile phones?
Yes. Mobile phones attract 18% GST in India (raised from 12% in April 2020), and most accessories and repair services are also at 18%. A registered shop's bill should show its GSTIN and the tax — 9% CGST and 9% SGST within the state. A business customer who wants to claim input tax credit needs their GSTIN on the bill. Shops below the GST registration limit, and those under the composition scheme, must not add GST. Rates can change, so check before printing.
Mobile shop bill terms and conditions
Typical mobile shop bill terms and conditions, written in the footer:
- "Warranty as per manufacturer's policy; service at authorised service centres."
- "No warranty on physical damage, liquid damage or tampered devices."
- "Accessories: 7-day replacement for manufacturing defects only."
- "Repaired parts: 30-day shop warranty on the replaced part."
- "Please keep this bill for warranty claims."
Keep terms consistent with the manufacturer's warranty and consumer law — a shop can't remove a warranty the manufacturer gives.
Mobile repair bills
For repairs, the bill is also the job sheet. Write the phone model and IMEI, the fault reported ("not charging"), the work done ("charging port replaced"), parts and labour as separate lines, the date received and the delivery date. Note the phone's condition when received — cracked screen, missing back cover — to avoid disputes later. If the customer pays an advance for parts, enter it in Bill settings so the balance is shown.
Used and refurbished phones
When you sell a used phone, the bill matters even more. Write "Used" or "Refurbished" in the description with the model, IMEI and condition, any shop warranty you give, and — on your own copy — the details of the person you bought it from, with their ID. When you buy a used phone from a customer, record their name, phone, ID and the IMEI; many police stations expect shops to keep such records.
How to get a mobile purchase bill (for customers)
Customers often search for how to get a mobile purchase bill they have lost. If you bought from a shop, ask the shop for a duplicate — with the date and your phone number they can usually find it, and if they made it here they will have the downloaded copy. For phones bought online, the invoice is usually available in your order history on the seller's website or app. Never make your own bill for a phone you bought elsewhere; it will not match the seller's records.
Mobile shop bill format in Excel, Word or PDF
Mobile shops search for a mobile shop bill format in Excel or a mobile shop bill format Word file because they want IMEI columns and GST calculations. This generator has both, works on the phone you already have at the counter, and produces a mobile shop bill format PDF or an image in one tap. If you keep a stock register, note each IMEI and bill number when the phone is sold.
Need the bill in Word? Click Word under the bill to download it as a .docx file, at the same A4, A5 or 80 mm thermal size as the PDF. It opens in Microsoft Word and Google Docs. The bill is placed in the file as a picture, so make any changes here and download it again.
Mobile purchase bill format for customers and companies
Customers who need a mobile purchase bill format for a company reimbursement should get the shop's bill with their own name on it, the model, IMEI, date and amount — companies usually reject bills without an IMEI or in another person's name. For a business buying several phones for staff, list each handset with its IMEI on its own line, add the company's name, address and GSTIN under the bill details, and keep one bill per order. The company will match the IMEIs to the employees who receive the phones.
Mobile shop bill with GST: showing the tax
Most customers see mobile prices inclusive of GST, so many shops bill at the inclusive price and write "Price inclusive of GST @ 18%" in the footer. Business customers, though, want a mobile shop bill with GST shown separately, because they need the tax amount to claim credit. For them, enter the pre-tax price — the inclusive price divided by 1.18 — and add CGST 9% and SGST 9% rows. Both bills come to the same total; only the presentation changes.
Accessory and repair-only shops
Smaller shops that sell only covers, chargers and screen guards, or that do repairs only, still benefit from proper bills. Write the compatible model on each accessory line ("Type-C charger 25 W"), offer a short replacement period for defective accessories, and make a repair bill for every job — even a ₹200 screen-guard fitting — so customers return to you when they need more.
Mobile shop bill book
Many shops still use a printed mobile shop bill book format with carbon copies. You can match that look with the bill book style and your logo, while the totals and taxes are calculated and every bill is kept as a clean digital copy — much easier to search by date when a customer asks for a duplicate six months later.
What is "mobile phone billing"?
"Mobile phone billing" usually refers to a telecom operator's monthly postpaid bill, or to "carrier billing", where a purchase is charged to the phone bill. That is different from a mobile shop's purchase bill, which this page is about. For recharges and SIM sales at your shop, list them as items on the bill like any other product.
Mobile bill checklist
Before you hand over or send the bill, a ten-second check catches most mistakes:
- Brand, model, colour and storage.
- Both IMEI numbers, checked against the phone’s screen.
- Accessories and services on separate lines.
- Exchange value of an old phone shown as a deduction.
- Warranty terms in the footer.
- A copy sent to the customer on WhatsApp.
Related bill types
Shops that also sell laptops, TVs and appliances can use the electronics shop bill; repair shops for vehicles have the car and bike repair bill; and for a plain bill book page, use the general store bill. All types are listed on the handwritten bill generator page.
Fair use
Issue mobile bills only for phones and repairs your shop actually sold or did, with the real IMEI and amount. A bill for a phone you did not sell — for example to support an insurance claim, a warranty claim or to make a stolen phone look legitimate — is fraud and may be a criminal offence.
