Handwritten Clothing Store Bill Generator

Clothing and cloth shop bills carry details that a grocery bill does not: the size and colour of a garment, metres of fabric, a boutique alteration charge or a sale discount. This handwritten clothing store bill generator has templates for garment shops, cloth and saree shops and boutiques. Add your store name, enter each item with its size, quantity or metres and price, and the amounts, discount, any GST and grand total are calculated for you, with the total in words. Add an exchange-policy line at the bottom, tap any text to edit it, and download a PNG, JPG, PDF or Word file. It is free, mobile-friendly and made for small fashion shops, tailoring boutiques and market stalls.

Use responsibly: Create bills only for real sales and services of your own business, or for practice, training and design mockups. Do not create a bill for a purchase that did not happen or change real amounts, and do not use generated bills for reimbursement, insurance or tax claims.

Bills for cloth shops, boutiques and garment stores

A clothing bill has more detail than most retail bills. The same kurta comes in five sizes and four colours; a saree is sold with a blouse piece and fall-pico; dress material is cut by the metre; a boutique adds stitching and alteration charges and a delivery date; and a sale season brings discounts on some items but not others. When the bill is written in a hurry, the customer can't tell which line is which — and when they come back to exchange a size, neither can you.

This clothing bill generator gives cloth shops, garment stores, boutiques and tailors a clear, handwritten-style bill with room for those details. Enter item, size, colour, quantity and rate, add stitching or alteration lines, apply discounts, and the tool adds it all up, applies GST if you are registered and writes the total in words. Download the bill as a PDF or image, print it, or send it on WhatsApp.

Cloth shop bill format

A practical cloth shop bill format includes:

  • Header: shop or brand name, address, phone, Instagram or WhatsApp handle, and GSTIN if registered.
  • Bill details: bill number, date, customer name and phone (useful for exchanges and alteration pickups), and the salesperson's name if you pay commission.
  • Item table: item, size, colour, quantity or metres, rate and amount. The clothing templates have size and colour columns ready.
  • Services: stitching, alteration, fall-pico, blouse stitching, each as its own line with the delivery date.
  • Totals: subtotal, discount, GST if applicable, total, advance and balance for stitching orders.
  • Footer: your exchange policy, washing advice for delicate fabrics, and a signature.

What is the GST on clothes?

GST on clothes depends on the price per piece. After the GST rate changes that took effect on 22 September 2025, readymade garments and made-up textile articles priced up to ₹2,500 per piece attract 5% GST, and those above ₹2,500 per piece attract 18%. Most fabrics are taxed at 5%, and tailoring services are taxed as services. Because the threshold applies per piece, a bill can contain items at both rates — show the tax line by line or with a summary by rate, as your accountant advises. Rates are revised from time to time, so check the current rate. Small shops below the registration limit (₹40 lakh a year for most suppliers of goods) and composition dealers must not add GST to the bill.

Cloth shop bill terms and conditions

The footer of a clothing bill is where shops write their exchange and care rules. Good terms are short, specific and fair:

  • "Exchange within 7 days with bill and original tags."
  • "No exchange on innerwear, altered or stitched items."
  • "Sale items: exchange for size only."
  • "Dry clean recommended for silk and embroidered items."
  • "Stitched orders not collected within 30 days may be disposed of — please collect on time."

Avoid blanket lines like "No exchange, no return in any case". Under consumer law, a customer is still entitled to a remedy for a genuinely defective product — a torn seam, a colour that runs on first wash when sold as colourfast — whatever the bill says. Clear, reasonable terms protect you better than ones a consumer commission would ignore.

Garment shop bill format for wholesale and B2B

Garment shops that sell in bulk to other shops need a different garment shop bill format: buyer's name, address and GSTIN, item with style or design number, size-wise quantities ("S-4, M-6, L-6, XL-4"), rate per piece, and GST. For these sales, the wholesale bill template is a better fit, with buyer details and a transport line.

Cloth shop bill book and garment bill book format

The usual cloth shop bill book format is an A5 or slightly smaller page with the shop name printed in a coloured band, a few ruled lines for items, and columns for size, quantity and amount. Most cloth shops have a cloth shop bill book printed with their name, and many customers recognise a shop by its bill. If you like that look, choose the red or blue bill book style here, put your shop name and logo in the header, and the bill will feel like your printed book — but with the totals, discount and balance worked out for you and a clean copy downloaded every time. Shops that prefer pre-printed pads can download a bill with only the header and one line as a PDF and print their own garment bill book format at a local printer.

Sale season billing

End-of-season sales bring crowds and mixed discounts — 50% off on one rack, "buy 2 get 1" on another, nothing off on new arrivals. The cleanest bills write the MRP in the item name, bill each item at its sale price, and add any bill-level offer as a separate discount line. Mark sale items clearly ("Sale — exchange for size only") so the exchange rule is on the bill. At the end of each sale day, the downloaded bills tell you which discounts actually moved stock.

School uniforms and bulk orders

Shops that supply school or company uniforms bill differently from walk-in sales: write the school or company name, the class or department, and size-wise quantities on one line per item — "Shirt, white, size 28 × 12, 30 × 18, 32 × 10". Take an advance with the order, give the expected delivery date, and enter the advance in Bill settings so the bill shows the balance. For orders delivered in instalments, list the bill numbers of earlier deliveries in the note.

Cloth shop bill format in Word or Excel

Searching for a cloth shop bill format in Word or a clothing bill format in Excel usually means you want something editable and free. This generator is both, and it works on a phone at the counter. Size and colour columns are already there, discounts and advances are calculated, and the result downloads as a PDF for printing or an image for WhatsApp. If you track stock in a spreadsheet — and many boutiques keep a garment bill format Excel sheet for exactly this — copy each bill's items and quantities into it at day end.

Need the bill in Word? Click Word under the bill to download it as a .docx file, at the same A4, A5 or 80 mm thermal size as the PDF. It opens in Microsoft Word and Google Docs. The bill is placed in the file as a picture, so make any changes here and download it again.

Boutiques and tailors: stitching orders

For a boutique or tailoring shop, the bill doubles as the order slip. Write the garment type, fabric (customer's or yours), design notes ("boat neck, ¾ sleeves, lining"), trial date and delivery date. Take an advance and enter it in Bill settings; the customer keeps the bill and brings it back to collect. A measurement card is best kept separately, but a short note of key measurements on your own copy can help if the card goes missing.

Tips for clearer clothing bills

  • Always write size and colour — it is the first thing checked during an exchange.
  • Show MRP and discount during sales, so customers see their savings.
  • Record metres to one or two decimals for fabric.
  • Keep services on separate lines from goods; they may be taxed differently.
  • Note the delivery date on every stitching or alteration line.
  • Ask for the customer's phone number on larger bills — it lets you find the bill quickly when they return for an exchange, and lets you send it on WhatsApp.

Footwear and accessories

Shoe shops and accessory stores can use the same templates: write the size (UK 8, EU 42) and colour, and the model or article number so exchanges are easy. Footwear has its own GST slabs by price, which were also revised in 2025 — check the rate for each price band.

Clothing bill checklist

Before you hand over or send the bill, a ten-second check catches most mistakes:

  • Size and colour on every garment line.
  • Metres written to the decimal for fabric.
  • Stitching and alteration lines with their delivery dates.
  • Sale or festive discount shown as its own line.
  • Exchange terms in the footer, fair and specific.
  • Customer phone number for exchanges and alteration pickups.

Related bill types

Bulk garment sellers should use the wholesale bill; jewellery and accessory boutiques can use the jewellery bill; and for a simple bill book page, try the general store bill. All 36 types are on the handwritten bill generator page.

Fair use

Make clothing bills for real sales and orders at your shop, for practice or for design mockups. Do not create a bill for clothes that were not bought, or change a real bill, to claim money or a warranty — that is fraud.

Clothing Store bill FAQs

Can I add size and colour to each item?

Yes. The clothing templates have size and colour columns, or you can write them in the item name.

Can I bill fabric by the metre?

Yes. Enter the metres as the quantity and the rate per metre; the amount is calculated automatically.

Can I show a sale discount?

Yes. Add a discount as a percentage or a fixed amount, either on the whole bill or as a separate line.

Can I add an exchange or return policy?

Yes. Edit the footer note, for example "Exchange within 7 days with bill. No refund."

Can I add alteration or stitching charges?

Yes. Add alteration or stitching charges as separate lines, with the garment and delivery date in the description.

What is the GST on clothes?

From 22 September 2025, readymade garments priced up to ₹2,500 per piece attract 5% GST and those above ₹2,500 per piece attract 18%. Most fabrics are at 5%. Rates can change, so check the current rate before billing.

Is GST charged on all clothing?

Only by GST-registered sellers. Shops below the registration limit, and composition dealers, must not add GST to their bills. Registered shops charge 5% or 18% on garments depending on the price per piece.

Cloth shop me billing kaise kare?

Template chunein, dukaan ka naam likhein, har kapde ka naam, size, colour, quantity aur rate bharein. Silai ya alteration alag line mein likhein, discount aur advance Bill settings mein bharein, phir bill download karke print ya WhatsApp karein.

What terms and conditions should a cloth shop print on the bill?

Short, fair rules: an exchange period with bill and tags, items that cannot be exchanged (innerwear, altered items), sale-item rules, care advice, and a collection deadline for stitched orders. Avoid "no return in any case" — it does not override consumer law.

Can a cloth shop refuse an exchange?

A shop can set reasonable exchange rules for items that are not defective, as long as they are made clear before or at the sale. For defective goods, the customer is entitled to a remedy under consumer law regardless of the bill’s terms.

What is a garment shop bill format?

It is a bill with the shop’s details, bill number and date, and for each garment: description, size, colour, quantity, rate and amount, followed by discount, tax, total and exchange terms. The clothing templates here follow this format.

How do I bill fabric sold by the metre?

Enter the metres as the quantity — for example 2.5 — and the price per metre as the rate. The tool calculates the amount; write "m" after the quantity or in the item name for clarity.

How do I bill stitching orders with an advance?

Add the stitching as its own line with the garment type and delivery date, then enter the advance in Bill settings. The bill shows the total, the advance and the balance due at delivery.

Is there a cloth shop bill format in Word or Excel?

You can use one, but this generator is quicker at the counter: size and colour columns, discounts and advances are ready, totals are automatic, and the bill downloads as a PDF or image.

Can I design my own cloth shop bill book?

Yes. Choose a bill book style, add your shop name and logo, keep one sample line, and download a PDF to give to a printer. Or make every bill here and keep the downloaded copies instead of carbon copies.

What GST applies when a bill has garments above and below ₹2,500?

Each piece is taxed at its own rate — 5% up to ₹2,500 per piece and 18% above, under the rates effective September 2025. Show the tax per line or in a summary by rate; ask your accountant which suits your billing.

Should I write MRP on a clothing bill during a sale?

It helps. Write the MRP in the item name or as a note and bill at the sale price, or add a discount line. Customers like to see what they saved, and it makes exchanges at the right price easier.

Can a boutique use this as an order slip?

Yes. Write the garment, fabric, design notes, trial date and delivery date, take an advance and give the customer the bill. They bring it back to collect the order and pay the balance.

Can shoe shops use the clothing bill?

Yes. Write the shoe size, colour and article number on each line. Footwear has its own GST rates by price band, revised in 2025, so check the rate for each pair.

What is a shopping bill?

A shopping bill is the bill a shop gives for items you bought — the list of goods, their prices and the total paid. It is your proof of purchase for exchanges, returns and warranty claims, so keep it until the exchange period is over.
