Gym and fitness bills that members can keep
A gym bill is a membership record as much as a receipt. Members want to know exactly what they paid for — which plan, from which date to which date, whether personal training is included, and when the membership expires. Many keep the receipt for a company wellness reimbursement or for their own budgeting; some will come back to it if they ask to freeze or transfer their membership. A clear gym fee receipt prevents most front-desk disputes.
This gym bill generator gives gyms, fitness studios, yoga centres, dance classes and personal trainers a neat, handwritten-style receipt with the plan, validity dates, joining fee, personal training, discounts, GST if you are registered, and the total in words. Download it as a PDF or image and send it to the member on WhatsApp the day they join or renew.

The discount is applied before tax. A gym that is not GST-registered would leave out the tax rows and charge ₹12,000.
GST on gym memberships
Gym, fitness centre and health club services are taxed at 18% GST for registered businesses in India, and the September 2025 GST changes reduced the rate on some health and fitness services — check the current rate that applies to your gym with your accountant. A gym, yoga studio or trainer below the GST registration limit for services (₹20 lakh a year in most states) cannot charge GST. Registered gyms should show their GSTIN and the tax separately on every receipt.
Gym membership format: plans, validity and freezes
Most gym disputes are about dates. Write the start and end date on every receipt — not just "3 months" — and note any freeze or extension on a fresh receipt, for example "Membership frozen 10/12 – 24/12 (medical), new end date 14/02". If a member upgrades their plan, issue a receipt for the difference with the new validity. For instalment plans, write the instalment schedule in the footer and record each payment on a receipt with the balance remaining.
Refunds and long memberships
Many gyms print "Fees are non-refundable" on their receipts. Be aware that consumer commissions in India have, in some cases, ordered gyms to refund the unused part of long memberships — for example where the gym shut down or failed to provide the promised facilities. A fair, clearly stated policy — freeze for medical reasons, transfer to another person for a fee, partial refund in defined cases — is better for your reputation than a blanket "no refund", and it gives members confidence to buy longer plans.
Personal training bills
Personal training is usually sold in packs of sessions or as a monthly add-on. On the bill, write the trainer's name, the number of sessions or the period, and the rate. Independent personal trainers who train clients at home or in parks can use the same template with their own name in the header — clients appreciate a proper receipt, and it makes a trainer look professional. Track sessions on a card and give a fresh receipt when a new pack is bought.
Gym bill format in Excel, Word or PDF
Gym owners often look for a gym bill format in Excel to track members or a gym bill format in Word to print receipts. A spreadsheet is useful for your member list; for receipts, the generator is quicker at the front desk: the gym receipt format is ready, totals and tax are calculated, and the gym bill format PDF or image goes to the member on WhatsApp immediately. Keep the receipt number in your member sheet.
Need the bill in Word? Click Word under the bill to download it as a .docx file, at the same A4, A5 or 80 mm thermal size as the PDF. It opens in Microsoft Word and Google Docs. The bill is placed in the file as a picture, so make any changes here and download it again.
Gym invoice format for corporate memberships
Companies that pay for employee memberships want a gym invoice format with their name, address and GSTIN, the list of employees and plans, the period, and payment terms. Issue one invoice per batch or per month, and give each employee a personal receipt showing their own validity dates.
Yoga, dance, Zumba and martial arts classes
Studios that run batches bill monthly or per term: write the batch ("Morning yoga, 6:30 am, Mon–Sat"), the month or term, and the fee. For drop-in classes, a simple receipt per class or a pack of ten classes works. Dance and martial arts schools often add costume, uniform or exam fees on separate lines — show them clearly so parents can see what they are paying for.
Supplements, merchandise and add-on services
Many gyms sell protein, shakers, gloves and T-shirts, and offer add-ons such as body composition analysis, diet plans or physiotherapy sessions. Bill each on its own line with the product, flavour or size, quantity and price. Packaged supplements carry an MRP — never bill above it. Diet and physiotherapy services should name the professional providing them. Keeping these separate from the membership line makes your sales reports more useful and makes members' reimbursement claims simpler, since many employers reimburse memberships but not supplements.
Member communication through receipts
Every receipt is a chance to tell members something useful: holiday timings, a new batch, a referral offer. A short footer note — "Refer a friend and get 15 days free" — costs nothing and is read by every member who opens the receipt. Keep it to one line so the important details stay clear. Members read the plan dates first; anything else should never push those dates out of view on a phone screen.
Health club bill format
Health clubs that include a pool, spa, sauna or courts can list each facility in the plan description or as separate add-ons, with any guest pass charges. Write the access hours and any facility-specific rules in the footer.
Gym bill receipt for renewals
Renewals are where gyms make most of their money, and the gym bill receipt for a renewal should make the next step obvious. Write the new plan and dates, mention any loyalty discount for renewing before expiry, and add a line in the footer like "Renew before 31/01 to keep your locker". Sending the renewal receipt on WhatsApp also gives you a natural moment to remind the member of new classes, trainers or timings.
Managing the front desk
At a busy gym, the front desk handles joinings, renewals, personal-training packs, supplements and merchandise all at once. A few habits keep billing clean. Keep one receipt series for all sales so your daily total is simple. Never write "Paid" without a receipt number. Record cash, card and UPI separately in the footer so the day's closing matches your bank statement. For supplements and merchandise, list the product and flavour or size, and keep those sales on separate lines from memberships — they may carry different GST rates, and members often want them on separate bills for reimbursement.
Trial sessions and day passes
Many gyms offer a paid trial or a day pass. Bill it as a single line — "Day pass, 03/11" — and, if you adjust the trial fee when the person joins, show that adjustment as a discount on the joining receipt. It keeps your conversion offer transparent and your accounts tidy.
Gym bill book vs. digital receipts
A printed gym bill book with carbon copies is common at small gyms. It works, but members lose paper receipts and staff forget to write end dates. A downloaded receipt sent on WhatsApp is never lost, always has the dates, and is easy to find when the member returns for renewal. Choose the bill book style here if you like that look.
Gym receipt checklist
- Member name, ID and phone.
- Plan name with start and end dates.
- Joining fee and personal training on separate lines.
- Offers and discounts named clearly.
- GST only if registered.
- Freeze, transfer and refund policy in the footer.
Related bill types
Coaching classes and tutors can use the tuition fee receipt; schools use the school fee receipt; and for any other simple service, try the cash memo. All types are on the handwritten bill generator page.
Fair use
Issue gym receipts only for memberships actually sold. Making a gym receipt for a membership that wasn't bought — for example to claim a wellness reimbursement — is fraud.
