Hardware bills with every unit in its place
A hardware shop's bill is a list of mixed units. Cement in bags, sand in cubic feet, TMT bars in kilograms, PVC pipe in lengths, wire in coils, tiles in boxes, paint in litres, screws by the hundred and a few loose taps and hinges by the piece. The customer is often a contractor buying for a site, on credit, who will pass the bill to the house owner — and the house owner will check every line. If units are missing or totals are off, the arguments start.
This hardware bill generator gives hardware, paint, sanitary, plywood and building-material shops a clear, handwritten-style bill where each line carries its unit, quantity and rate. It totals the bill, applies discounts and GST, tracks advances and credit, and writes the amount in words. Download it as a PDF or image, print it, or send it on WhatsApp to the contractor and the owner.

GST on hardware and building materials
Most hardware items — pipes, fittings, wires, paints, tools and sanitary ware — attract 18% GST. In the September 2025 GST changes, cement was reduced from 28% to 18%. Some materials such as bricks and sand have their own rates and schemes. A registered shop should print its GSTIN, and if the buyer is a registered contractor or business, their GSTIN too, so they can claim input tax credit. Rates are revised from time to time; check the current rate for each item. Shops below the registration limit, or under the composition scheme, must not add GST to bills.
Delivery to site and e-way bills
When you deliver material to a site, write the vehicle number and driver's name on your copy, and get the receiver's signature or a photo on delivery. For consignments worth more than ₹50,000, GST rules generally require an e-way bill generated on the government portal before the goods move; the threshold and exemptions for movement within a state can vary, so check your state's rules. The e-way bill is separate from your bill — write its number on the bill for reference.
Contractors, credit and site accounts
Hardware shops run on credit with contractors. Keep it clean:
- One bill per delivery, with the site address, so the owner can match material to work done.
- Show payments and balance on every bill using the paid box.
- Send each bill to the house owner too, if the contractor agrees — owners pay faster when they can see what went to their site.
- Make a monthly statement per site, listing bill numbers, dates and amounts, minus payments.
- Take returns of unused material on a separate return bill with negative quantities, so the account stays accurate.
Hardware shop bill format in Excel, Word or PDF
The hardware shop bill format Excel users download, the hardware shop bill format Word templates, and the hardware bill format in Excel with formulas are all popular because owners want unit columns and credit balances. This generator has both, works on the counter phone, and downloads a hardware shop bill format PDF straight away. Many shops keep a site-wise ledger in a hardware store bill format in Excel; make the bill here and copy the bill number and total into the ledger.
Need the bill in Word? Click Word under the bill to download it as a .docx file, at the same A4, A5 or 80 mm thermal size as the PDF. It opens in Microsoft Word and Google Docs. The bill is placed in the file as a picture, so make any changes here and download it again.
If you have been printing a hardware bill format in Word for each customer, you will notice two differences here: you never retype your header, and you never re-add the column after changing a quantity. Both save time on a busy morning when five contractors are waiting.
Small walk-in sales
Not every hardware customer is a contractor. A homeowner buying a tap washer, a tube of sealant and a dozen screws wants a quick bill too. Use the counter-slip style for these: three or four lines, the total and the payment mode. Keep the bill-number series the same as for contractor bills so your daily sales add up in one place, and send the bill on WhatsApp if the customer may need it for a return.
Hardware shop bill book
A printed hardware shop bill book format usually has wide item lines and a unit column, with carbon copies for the shop. The bill book style here keeps that look, adds the calculations, and saves each bill as a clean copy you can search by site name or date — handy when a contractor disputes a balance three months later.
Paint, sanitary and plywood shops
- Paint shops: write brand, product, shade code and pack size ("Shade 7B4, 10 L"), and tinting charges as a separate line.
- Sanitary shops: write model numbers for taps, closets and basins — essential for warranty.
- Plywood and laminates: write thickness, size and grade ("18 mm BWR 8×4") and sheet count.
Quotations before the bill
Contractors and house owners usually ask for a quotation before they buy a large order — the cement, steel and plumbing for a floor, or the tiles and sanitary ware for a bathroom. Make the quotation here with the same layout, title it "Quotation" instead of "Bill" by clicking the title, and add a validity line in the footer: "Rates valid for 7 days; cement and steel prices subject to change". When the customer confirms, download a final bill with a new bill number and the actual quantities delivered. Keeping the quotation and the bill side by side avoids the most common dispute in hardware — rates that changed between the quote and the delivery.
Price changes and rate lists
Cement, steel and copper prices change often, sometimes weekly. Write the rate on every line, never just the amount, so an old bill shows the rate that applied on that date. Many shops keep a rate list for regular contractors and update it at the start of each month; if you give a special rate, write "Contractor rate" on the line. When a customer compares two bills months apart, the rates — not the totals — explain the difference.
Hardware bill vs. hardware bill of materials
A hardware bill of materials (BOM) is something different: an engineering list of every component needed to build a product or a project, used for planning and costing, not for charging a customer. Contractors sometimes send a shop a BOM for a site — the list of materials needed — and ask for a quote; once the material is delivered, your bill is the sale document.
Hardware bill checklist
Before you hand over or send the bill, a ten-second check catches most mistakes:
- Unit on every line — bags, kg, lengths, coils, boxes.
- Rate per unit written, not just the amount.
- Site address and contractor name.
- Loading and delivery charges listed separately.
- Payments and balance shown for credit customers.
- E-way bill number for large deliveries.
Related bill types
Contractors billing house owners for labour and work can use the construction and contractor bill; electrical shops selling appliances can use the electronics bill; and distributors supplying shops can use the wholesale bill. All types are on the handwritten bill generator page.
Fair use
Issue hardware bills only for material actually sold and delivered, with real quantities and rates. Inflating a bill so a contractor can over-charge a house owner, or making a bill for material that was never supplied, is fraud.
