A handwritten bill, without the bill book
Millions of small businesses still write their bills by hand. The kirana store, the dhaba on the highway, the mechanic, the tailor, the tutor and the taxi driver all reach for a bill book, write the items, add up the total and sign at the bottom. A handwritten bill feels personal and familiar to customers — but writing it neatly, getting every total right and keeping a copy takes time.
This handwritten bill generator gives you the look of a real handwritten bill with none of the arithmetic. Pick your type of business, choose a template that looks like a bill book page, and type your items. Amounts, subtotal, tax, discount, grand total and the amount in words are worked out as you type, and you can download the bill to print or send to a customer on WhatsApp.
How to make a handwritten bill
- Choose your bill type — restaurant, grocery, taxi, rent receipt and 32 more, each with fields for that business.
- Pick a template — plain, ruled, carbon-copy bill book, old paper or a small counter slip.
- Fill in the bill — click any text on the bill to edit it, and add or remove item rows.
- Check the totals — tax, discount and the amount in words update automatically.
- Download a high-resolution PNG or JPG, a PDF or Word file in A4, A5 or thermal-printer size, or print directly.
Handwritten bill format
Whatever the business, a clear handwritten bill follows the same format from top to bottom:
- Header: business name, address and phone number, and GSTIN if you are registered.
- Bill details: bill or invoice number, date, and the customer's name.
- Item table: item or service, quantity, rate and amount for each line.
- Totals: subtotal, discount, tax, grand total and the amount in words.
- Footer: payment mode, a note such as "Goods once sold will not be taken back", and a signature or stamp.
Each bill type adds the fields that business needs — a table number for a restaurant, check-in and check-out dates for a hotel, kilometres for a taxi, weight and purity for a jeweller, or the vehicle number for a mechanic.
Kacha bill and manual bill format
In India an informal handwritten bill is often called a kacha bill or a manual bill: a page from a bill book with the shop name printed at the top and everything else written by hand. The cash memo and kirana store templates recreate that look, complete with ruled lines, a carbon-copy feel and the total written in words — "Rupees Four Hundred Twenty Only".
Handwritten invoice, receipt or bill?
The words are often used interchangeably, but there is a difference. A bill or invoice asks for payment for goods or services. A receipt confirms that payment was received — like a rent receipt, a school fee receipt or a donation receipt. A tax invoice is a bill that also shows the tax details your tax rules require. This generator can make all three.
Are handwritten bills and invoices valid?
Yes, in most places a bill or invoice does not have to be typed. It is valid when it contains the details your local rules require — usually the seller's name and address, a unique number, the date, a description of the goods or services, quantities, prices, taxes and the total. Larger businesses may be required to issue electronic invoices, so check the rules that apply to your business.
Is a handwritten GST bill valid?
In India, GST law does not require invoices to be printed by software. A handwritten tax invoice is valid when it shows everything the invoice rules ask for: the supplier's name, address and GSTIN; a unique, consecutive invoice number of up to 16 characters; the date; the recipient's name and address, and GSTIN if registered; the HSN or SAC code; a description, quantity and taxable value; the tax rate and amount (CGST and SGST, or IGST); the place of supply; and a signature. Three exceptions matter:
- E-invoicing: businesses with aggregate turnover above ₹5 crore must generate business-to-business invoices on the government's e-invoice portal, so a handwritten bill is not a valid B2B invoice for them.
- Composition scheme: composition dealers issue a "bill of supply" and must not charge GST.
- Unregistered sellers: they cannot charge GST at all — their bill is a simple cash memo.
GST rates were revised in September 2025, so check the current rate for your goods or services before you bill.
Computer-generated bill vs. handwritten bill
A computer-generated bill is printed by billing software, often with the line "This is a computer-generated invoice and does not require a signature". A handwritten bill is written by hand and signed. Legally, both are bills; what matters is the content. This generator sits in between: it gives you the warmth and familiarity of a handwritten bill, with the accuracy of a computer — totals, tax and the amount in words are always calculated correctly — and a clean digital copy you can keep.
Manual bill format in Word or Excel vs. this generator
Many people search for a manual bill format in Word, a bill format in Excel or a bill format PDF to download. Those files work, but you need a computer, you have to maintain the formulas, and every bill looks typed. Here the bill format is ready for 36 kinds of business, works on a phone, calculates everything as you type, and downloads as a PDF, Word file, PNG or JPG in one tap — with a handwritten look that a Word template can't give you. If someone asks for the bill in Word, the Word button saves the finished bill as a .docx file. If you keep accounts in Excel, copy each bill's number, date and total into your sheet.
Bill book format and printed bill books
A traditional bill book is a numbered pad of 50 or 100 bills, each with an original for the customer and a carbon copy for the shop, printed with the business name and columns for particulars, quantity, rate and amount. The bill book, carbon-copy and cash memo templates recreate that format exactly, including the printed coloured header. You can also design your own bill book: set up your header and logo, keep one sample line, download the PDF and take it to a local printer. With GST, a bill book format must also show your GSTIN, HSN or SAC, and tax columns.
Bill writing examples: what good bills have in common
- Clear identity: the business name and contact details at the top, and the customer's name on larger bills.
- A running number and date on every bill, never reused.
- Specific descriptions — "Paneer Butter Masala (full)", "OPC 53 cement, 50 kg bag", "Room 204, 2 nights" — not shorthand.
- Quantity × rate for every line, so the customer can check the arithmetic.
- Charges and discounts named on their own lines.
- Tax shown only when you are registered, with your GSTIN.
- The total in figures and words, and the payment mode.
- A signature or stamp, and the terms that matter for that business — warranty, exchange, delivery date.
Each bill type page has a worked sample bill, a checklist and answers to the questions customers in that business ask most often.
Types of bills
The bill types fall into a few families. Sales bills for goods — grocery, jewellery, hardware, wholesale. Service bills — car repair, laundry, photography, construction. And documents such as the freelancer invoice and the handwritten bill of sale for vehicles.

Who uses this handwritten bill generator
Small shops and service businesses that want neat bills without buying software; new businesses that need bills before their billing system is ready, or a backup when it is down; home businesses — bakers, tutors, tailors, caterers — who confirm orders on WhatsApp; landlords issuing monthly rent receipts; trusts and festival committees acknowledging donations; freelancers invoicing clients in India and abroad; commerce and hospitality students practising bill formats; and designers and filmmakers who need realistic-looking props and mockups that are clearly not real bills.
Use it responsibly
This tool is for businesses issuing bills to their own customers, and for practice, training and design mockups. Never create a bill for a sale that did not happen, change the amount on a real bill, or use a generated bill for an expense, reimbursement, insurance or tax claim — that is fraud. For the same reason, the generator does not offer bills that only a utility or large company can issue, such as electricity, phone or fuel bills.
