Grocery bills for the weekly shop and the monthly ration
Grocery shopping in India often happens in two rhythms. There is the monthly "ration" — atta, rice, dal, oil, sugar, tea, spices and soaps bought in one big list, often delivered home — and there are the small daily top-ups of milk, bread, eggs and vegetables. A grocery store handles both, and both need a bill the customer can check line by line: long lists with weights and litres, a few packaged items at MRP, perhaps a discount for a regular family, and a total that has to be right.
This grocery bill generator keeps the friendly, handwritten look of a neighbourhood store's bill while it handles the maths: weight × rate, quantity × price, discount, GST where it applies, the total in words, and an advance or credit balance if the customer pays later. Download the bill as a PDF or image to send on WhatsApp with a home delivery, or print it at the counter.
Grocery bill meaning
A grocery bill — or grocery bill receipt, once it is paid — is the itemised statement a grocery shop gives for food and household items bought: what was bought, how much, at what rate and for what total. For the shop, it records the sale; for the customer, it is the way to check prices and quantities, return a defective item and keep track of household spending. In everyday Indian usage, the "ration bill" is the same thing for a family's monthly grocery list — not to be confused with receipts from government ration (fair price) shops, which are printed from their own point-of-sale machines.
Grocery bill format
The grocery templates follow a practical grocery bill format with a long item table:
- Header: store name, address, phone or WhatsApp number for orders, and GSTIN if registered.
- Bill details: bill number, date and the customer's name and phone — useful for delivery orders and regular customers.
- Item table: serial number, item with brand or variety ("Sona masoori rice", "Toor dal"), quantity with unit (kg, g, L, pcs), rate and amount.
- Totals: subtotal, discount, delivery charge if any, GST where applicable, round-off and grand total.
- Footer: payment mode (cash, UPI or credit), amount in words and a signature.
How to make a grocery bill
- Choose a template — the plain and notebook styles suit a long grocery list; the counter slip is better for a few items.
- Set up your store's header — saved in this browser for your next bill.
- Type the items. Click each line to change it and use Add item for more. Write the unit with the item ("Sugar (kg)"), enter quantity and rate, and the amount appears.
- Add a discount or delivery charge in Bill settings.
- Check and send. The total and amount in words update as you type; download a PNG for WhatsApp or a PDF to print.

Most stores round this to ₹2,245 — add a ₹0.20 "Round off" charge line to show it. Prices in this sample are illustrative.
Units, weights and loose items
Grocery bills mix units more than any other bill. A few habits keep them readable:
- Put the unit in the item name — "Onion (kg)", "Milk (L)", "Eggs (dozen)" — and enter the number of units as the quantity.
- Use decimals for loose weights: 0.5 for 500 g, 0.25 for 250 g, 1.5 for 1.5 kg.
- Write the pack size for packaged goods — "Ghee 1 L tin", "Biscuits (pack of 4)" — and bill at or below the printed MRP.
- Separate free items from offers on their own line at ₹0, so the customer sees the offer was applied.
Grocery bill with GST
GST on groceries depends on the item, which is why a grocery bill with GST can have different rates on different lines. Loose, unbranded staples such as rice, wheat, pulses and flour sold without a label are generally exempt, while the same items pre-packaged and labelled have been taxed at 5% since July 2022. Packaged foods, cleaning products and toiletries carry their own rates, many of which were revised in the September 2025 GST changes. A small store below the registration limit (₹40 lakh a year for most suppliers of goods) does not charge GST at all, and a store under the composition scheme must not add GST to its bills. If you are registered and selling items at different rates, ask your accountant how to show them; one approach is to print the tax inclusive in each item's price and show the GST summary at the bottom. Rates change, so check them before billing.
Grocery bill format in Excel or Word
Store owners often look for a grocery bill format in Excel or a grocery bill format in Word, and households look for one to track their monthly spending. Spreadsheets are great for tracking but clumsy for writing a bill at the counter or on a delivery run. Here, the grocery bill format is ready on a phone, with totals, discount and amount in words worked out automatically, and the bill downloads as a PDF or image to send at once. If you keep accounts in Excel, copy the bill number, customer, date and total from each bill into your sheet at the end of the day.
Need the bill in Word? Click Word under the bill to download it as a .docx file, at the same A4, A5 or 80 mm thermal size as the PDF. It opens in Microsoft Word and Google Docs. The bill is placed in the file as a picture, so make any changes here and download it again.
Ration bill format for monthly home delivery
Many families send their monthly ration list to the same store on WhatsApp and pay on delivery or at month end. A clear ration bill format for these orders lists every item in the order the customer sent it, so they can tick items off as they unpack. Write the customer's name and address, mark items that were out of stock as "Not available" with no amount, and note substitutions ("Brand B instead of Brand A, same price"). If the family pays monthly, enter any part payment in Bill settings so the bill shows the balance. A ration bill in Hindi can be written in Hinglish — "Aata", "Chini", "Chai patti" — which suits the handwriting fonts; Devanagari text also works but appears in your phone's regular font.
Ration ka bill kaise banaye
Customer ki list ke hisaab se har saamaan ek line mein likhein, quantity aur rate daalein, aur jo saamaan nahi mila use "Not available" likh kar amount khaali chhod dein. Delivery charge ya discount jodein, aur agar customer ne kuch advance diya hai to use Bill settings mein likhein — baaki rakam bill par dikh jayegi. Bill ki photo WhatsApp par bhejein taaki customer saamaan milate samay check kar sake.
For households: using grocery bills to manage spending
People often ask why their grocery bill is so high or how to keep it under control. The first step is simply knowing what you spend. Ask your store for an itemised bill every time — or make one yourself here from your shopping list — and keep them for a month. Comparing a few months' bills shows which items have crept up in price or quantity, where a different pack size would be cheaper per kilogram, and which "extra" items appear on every bill. Students also use grocery bills as a real-life maths exercise in multiplication, decimals and percentages.
Fresh produce on a grocery bill
Fruit and vegetables change price daily and are sold by weight or by the piece, so write each with its unit — "Tomato (kg)", "Coconut (pc)", "Coriander (bunch)" — and the day's rate. Fresh, unprocessed produce is generally exempt from GST, so a registered store should keep it on lines without tax or show it at 0% in the GST summary.
Tips for grocery stores
- Number every bill and keep a running series; it makes your daily sales easy to count.
- Keep regular customers' details on their bills — name and phone — for credit and delivery.
- Never bill above MRP on packaged items; it is an offence under legal metrology rules.
- Write the payment mode, especially "Credit" for udhaar, so both sides know what is pending.
- Send the bill before delivery for WhatsApp orders, so payment is ready when the goods arrive.
Grocery bill checklist
Before you hand over or send the bill, a ten-second check catches most mistakes:
- Units with every item — kg, L, pcs, dozen.
- Loose weights typed exactly as shown on the scale.
- Brand and pack size for packaged goods, billed at or below MRP.
- Out-of-stock items marked "Not available" on delivery orders.
- Delivery charge and discount on their own lines.
- Payment mode, including "Credit" for unpaid bills.
Related bill types
Neighbourhood shops that run customer accounts may prefer the kirana store bill; larger self-service stores can use the supermarket bill; and shops selling a bit of everything can use the general store bill. See all types on the handwritten bill generator page.
Fair use
Make grocery bills for real sales at your store, for your own household records, or for practice and teaching. Do not create a grocery bill for a purchase that did not happen, or alter a real bill, to claim money — that is fraud.
