Tuition fee receipts that parents can file away
Parents pay tuition fees every month — to a home tutor, a coaching centre, a music teacher — and most of the time they get nothing in writing. Then a question comes up: was October paid? Did the advance cover December? Which month was the exam fee for? A simple, consistent tuition fee receipt answers all of these, makes the tutor look professional, and gives parents a record they can keep.
This tuition fee receipt generator gives home tutors, coaching centres and hobby classes a neat, handwritten-style receipt with the student's name, class, subjects, month or term, fee, extras such as study material, and the amount received — with the total in words. Download it as a PDF or image and send it to the parent on WhatsApp the day they pay.
Tuition bill format vs. tuition receipt format
There are two documents, and it helps to know which one you are making. A tuition bill is sent before payment: it lists what is due for the month or term — fees, materials, exam fees — and the due date. A tuition receipt is given after payment: it confirms the amount received, the period covered and the balance, if any. Many tutors only issue receipts; coaching centres often send a tuition bill format at the start of each term and a tuition receipt format for each payment. The generator makes both — change the title from "Receipt" to "Fee Bill" when you send a bill.
Tuition fee receipt format
- Header: tutor or institute name, address, phone, and GSTIN if registered.
- Receipt details: receipt number, date, student name, class or course, batch and subjects.
- Period: the month, months or term the fee covers — "October 2026" or "Term 2 (Oct–Dec)".
- Charges: tuition fee, admission or registration fee, study material, test series, exam or practical fees.
- Payment: amount received, mode (cash, UPI, bank transfer), and balance if paid in part.
- Footer: fee due date, late-fee policy if any, and the tutor's signature.
How to make a tuition fee receipt
- Choose the tuition template — it has student, class and month fields.
- Enter your name or institute details once.
- Fill the student, class, subjects and month.
- Add the fee and any extras on separate lines.
- Enter the amount paid in Bill settings if it's a part payment; the balance is shown.
- Sign, download and send to the parent.

In words: Rupees Eight Thousand Nine Hundred Only. Writing the months on the fee line removes any doubt about which period was paid.
This tuition bill sample is also how most parents expect a tuition bill receipt to look once paid: the months, the fee, the extras and what remains.
Late fees, holidays and missed classes
The questions parents ask most are about fairness: will I pay for the month we were away, what if the tutor cancels classes, is there a late fee? Decide your policy once and write it on every receipt — for example, "Monthly fee is fixed; classes missed by the student are not adjusted; classes cancelled by the tutor are made up", or "Late fee ₹100 after the 10th". When the rule is on the receipt, you never have to argue it individually, and parents know what to expect before they join.
Home tuition fee receipt
Home tutors rarely give receipts, but a home tuition fee receipt takes a minute on a phone and is worth it. Write your name and phone as the header, the student's name and class, the subjects, the month, the number of classes if you charge per class, and the amount. Parents who need proof of tuition expenses — for their own records, or when a company reimburses education costs — will thank you, and a written receipt settles any confusion about advances and missed classes.
Coaching fee receipt for institutes
Coaching centres usually collect fees in instalments for a course. A coaching fee receipt should show the course, batch and the instalment number ("Instalment 2 of 3"), the amount received, the total course fee and the balance. Give a fresh receipt for every instalment with a running receipt number. If you offer scholarships or sibling discounts, show them as a separate line so the fee structure stays transparent.
Is tuition fee eligible for tax deduction?
Parents often ask whether a tuition fee receipt can be used for a tax deduction. Under section 80C of the Income-tax Act, 1961 (renumbered in the Income-tax Act, 2025 from April 2026), the deduction covers tuition fees paid to a university, college, school or other educational institution in India for the full-time education of up to two children, and only under the old tax regime. Fees paid to private tutors or coaching centres for extra classes generally do not qualify, and nor do development fees, transport or donations. So a coaching or home tuition receipt is a payment record, not an 80C proof — school fee receipts are what parents need for that.
GST on tuition and coaching
Education provided by schools and recognised institutions as part of a curriculum leading to a recognised qualification is exempt from GST. Private coaching, tuition centres and hobby classes are taxable services, generally at 18%, but only once the provider is registered — and most home tutors and small coaching centres are below the registration limit for services (₹20 lakh a year in most states) and cannot charge GST. Registered coaching institutes should show their GSTIN and the tax on every receipt. Check current rules with your accountant.
Revenue stamps on cash receipts
In many states, a receipt for a cash payment above ₹5,000 carries a ₹1 revenue stamp under the Indian Stamp Act. If a parent pays a large term fee in cash, stick a revenue stamp on the printed receipt and sign across it. Payments by UPI or bank transfer leave their own record, which is one more reason many tutors now prefer them.
Tuition fees bill format in Word, Excel or PDF
Tutors often look for a tuition fee receipt format in Word or a tuition fees bill format in Excel to print receipts. The generator works on a phone and gives you a tuition fee receipt PDF in seconds, with the total in words and the balance worked out. If you keep a fee register in Excel, record each receipt number, student, month and amount there.
Need the bill in Word? Click Word under the bill to download it as a .docx file, at the same A4, A5 or 80 mm thermal size as the PDF. It opens in Microsoft Word and Google Docs. The bill is placed in the file as a picture, so make any changes here and download it again.
Music, dance, art and language classes
Hobby classes bill the same way: student, class or instrument, batch timing, month or term, and fee. Add exam fees for graded exams, instrument rental, costumes or art materials on separate lines. Many hobby classes are paid monthly in advance — write "Fee for November, payable by 5 November" on the receipt to set expectations.
Admission, registration and refunds at coaching centres
Coaching centres often charge a one-time admission or registration fee and course fees in instalments. Show the admission fee on its own line, separate from tuition, and state whether it is refundable. If a student leaves midway, a clear refund policy on the receipt — for example, a pro-rata refund of unused instalments minus the admission fee — saves long arguments. Several states and education regulators have issued guidelines for coaching centres in recent years, including on fee refunds and transparency; follow any that apply to your centre and write your policy on every receipt.
Group classes and batches
For batches, the receipt should name the batch, its timing and the teacher. If a student moves between batches during the month, write the change on the next receipt. For crash courses and revision batches, write the start and end dates rather than a month, since they often cross months. Parents of younger students also appreciate the teacher's contact number on the receipt, and a note of the next test or parent meeting date if you hold them.
Online tuition
Tutors teaching online often have students in other cities or countries. Write the mode ("Online classes, 3 per week") and, for students abroad, change the currency in Bill settings to bill in dollars, pounds or dirhams; the amount in words switches to that currency. For international payments, note the payment method and keep the bank or platform record with your copy.
Fee register habits that save arguments
- Give a receipt for every payment, even small ones.
- Always write the months covered, not just the date of payment.
- Number receipts in one running series per year.
- Record advances and balances on the receipt itself.
- Send receipts to the parent's phone, not just to the student.
Tuition receipt checklist
- Student name, class and subjects.
- Month, term or instalment covered.
- Fee and extras on separate lines.
- Amount received, mode and balance.
- Receipt number, date and signature.
Related bill types
Schools issue the school fee receipt, which is what parents need for 80C; gyms and studios use the gym receipt; and stationery for classes can be billed with the stationery bill. See all types on the handwritten bill generator page.
Fair use
Issue tuition receipts only for fees actually received. Making a receipt for tuition that didn't happen — for a reimbursement or a tax claim — is fraud.
