Rent receipts that hold up for HRA and records
A rent receipt is one of the simplest documents there is — and one of the most checked. Salaried tenants submit rent receipts to their employer to claim the House Rent Allowance (HRA) exemption; employers and the tax department look for the landlord's name, the property address, the period, the amount and the landlord's signature, and for larger rents, the landlord's PAN. Landlords need a record of rent received for their own tax returns. A clear, consistent receipt every month saves both sides trouble at the end of the year.
This rent receipt generator gives landlords a neat, handwritten-style receipt with the tenant's name, property address, rent period, amount in figures and words, payment mode and the landlord's signature — the classic handwritten rent receipt format employers recognise. Make one receipt per month or a set for the year, download them as PDFs, and sign them.
Rent receipt format
A complete house rent receipt includes:

- Property address for which rent is paid.
- Rent period — "Rent for October 2026" or "1 Oct – 31 Oct 2026".
- Amount in figures and words.
- Payment mode — cash, cheque (with number), UPI or bank transfer (with reference).
- Landlord's PAN — required where annual rent exceeds ₹1 lakh.
- Landlord's signature, and a revenue stamp for cash payments above ₹5,000.

Rent receipts for HRA: what employers check
HRA exemption is available only under the old tax regime; under the default new regime, HRA is fully taxable and rent receipts aren't needed for it. For tenants on the old regime, the exempt part of HRA is the least of: the actual HRA received; rent paid minus 10% of salary; and 50% of salary for specified metro cities or 40% elsewhere ("salary" here means basic plus dearness allowance where it counts for retirement benefits). Employers typically ask for:
- rent receipts for each month or quarter, signed by the landlord;
- the landlord's PAN if the annual rent exceeds ₹1 lakh — or a declaration from the landlord if they have no PAN;
- sometimes a copy of the rent agreement, and proof of payment such as bank statements.
Rent should be paid in a way you can prove — bank transfer or UPI is best. The tax department can match high HRA claims against the landlord's PAN and returns, so receipts must reflect real rent actually paid. (Section numbers for HRA were in the Income-tax Act, 1961; the Income-tax Act, 2025 that took effect in April 2026 renumbered the provisions — the rules above are as commonly applied, so confirm the current position with your employer or tax adviser.)
Rent receipt for HRA: a step-by-step for tenants
- Check your regime. If you have chosen the old tax regime for the year, HRA exemption is available; under the new regime it isn't.
- Pay rent traceably — bank transfer or UPI — and keep the statements.
- Prepare the receipts here with your landlord's details, one per month or quarter, and ask your landlord to check and sign them.
- Collect the landlord's PAN if the yearly rent is above ₹1 lakh.
- Submit to your employer before the proof deadline (usually January–February), with the rent agreement if asked.
- Missed the deadline? You can generally still claim the exemption in your income tax return, with the same documents kept ready.
If a landlord insists on cash, ask for a rent receipt with revenue stamp for each payment above ₹5,000, signed across the stamp.
Can I make my own rent receipt?
Tenants often ask this. The receipt is the landlord's acknowledgment that they received rent, so it must be issued and signed by the landlord. A tenant can prepare the receipts for convenience — many do, with this tool — but the landlord must check and sign them, and the details must be true: the real landlord, the real address, the real amount, actually paid. Receipts for rent that wasn't paid, or signed by someone other than the landlord, are false documents, and claiming HRA on them is tax evasion.
Revenue stamp on rent receipts
Under the Indian Stamp Act, a receipt for a cash payment of more than ₹5,000 generally needs a ₹1 revenue stamp, signed across by the person receiving the money. Many employers ask for a stamp on rent receipts above ₹5,000 paid in cash. When rent is paid by bank transfer or UPI, a revenue stamp is commonly not insisted on, because the payment itself is recorded — but practices vary, so check what your employer asks for. Print the receipt, stick the stamp in the space beside the signature, and sign across it.

With annual rent of ₹2,16,000, the landlord's PAN is required for the tenant's HRA claim. The PAN shown is illustrative.
Monthly, quarterly or yearly receipts
Employers accept receipts for each month, or a single receipt for a quarter or the whole year as long as the period and total are clear. Monthly receipts are the cleanest record. To make twelve receipts quickly, fill in the details once, then for each month change the month and receipt number and download — the landlord signs the set. If rent changed during the year, the receipts must show the actual rent for each month.
Rent bill format for shops, offices and commercial property
Commercial rent works differently. A landlord renting out a shop, office or godown may need a rent bill (an invoice) rather than just a receipt — especially if the tenant is a business. Renting commercial property is a taxable service under GST: a landlord whose rental income from commercial property exceeds the registration limit must register and charge GST, commonly at 18%, on a rent bill format with GST showing their GSTIN. Residential property rented for residence is generally exempt, though since July 2022 GST may apply under reverse charge when a residential unit is rented to a GST-registered person — check with your accountant. Business tenants may also deduct TDS on rent above the thresholds. Use this template for the bill, change the title to "Rent Invoice", and add the tax rows.
Rent bill format in Excel, Word or PDF
Landlords managing several tenants often keep a rent bill format in Excel to track who has paid. That's a good ledger; for the receipts themselves, the generator is quicker — fill once, change the month, download a PDF. If a tenant asks for a rent bill format Word file to sign, send them a rent bill format PDF from here instead — it can't be edited after you sign it, which protects you both.
Need the bill in Word? Click Word under the bill to download it as a .docx file, at the same A4, A5 or 80 mm thermal size as the PDF. It opens in Microsoft Word and Google Docs. The bill is placed in the file as a picture, so make any changes here and download it again.
Room rent, PG and paying guests
Room rent receipts for PGs and shared flats follow the same format: the occupant's name, the room or bed, the period and the amount. If the rent includes food, electricity or Wi-Fi, write that on the receipt ("Rent including meals and electricity") — it matters for how an employer treats the HRA claim. The lodge and PG bill has layouts for daily and weekly stays.
For landlords: keeping rent records
Rent you receive is income, reported in your own tax return under income from house property (or as business income for some commercial lettings). Keeping a copy of every receipt you sign — matched to bank credits — makes that easy, and it protects you if a tenant's HRA claim is ever questioned: your records and theirs will agree. Note security deposits separately; they are refundable and are not rent.
Rent bill book
Some landlords still keep a rent bill book with carbon copies. The handwritten style here looks like a page from that book, but you get a clean PDF every month, the amount in words is always right, and you can keep copies in one folder — useful when your tenant's employer or your own tax return needs them.

Daily or weekly stays fit the lodge and guest house bill; school and coaching fees have the school fee receipt; and donations to trusts use the donation receipt. See all types on the handwritten bill generator page.
Use rent receipts honestly
Only make rent receipts for rent actually paid to the actual landlord, signed by that landlord. Fake rent receipts — in the name of a relative who doesn't receive rent, for a property you don't rent, or for inflated amounts — are a well-known form of tax evasion that the tax department actively checks, and the penalties are significant.
