Photography bills that spell out the deliverables

A photography job is sold months before it is delivered. A couple books a wedding photographer in spring for a winter wedding; a company books a product shoot and waits two weeks for edited images; a family books a newborn session and orders an album later. Between booking and delivery, memories fade and expectations grow. The bill is the document both sides look at when they ask, "What exactly was included?"

This photography bill generator gives photographers, videographers, photo studios and event teams a clean, handwritten-style bill that lists the shoot, coverage hours, crew, deliverables, album, travel and advances — calculated automatically, with the total in words. Download it as a PDF to email with your contract, or as an image to send on WhatsApp.

Footer for this bill: "Deliverables: 600+ edited photos via online gallery within 30 days; 5-minute highlight film and 90-minute full film within 60 days; album after client's photo selection. Balance: ₹80,000 on the wedding day, ₹50,000 on delivery."

Who owns the photos? Usage rights on the bill

This surprises many photographers: under India's Copyright Act, when a photograph is taken for valuable consideration at the instance of a client, the client is the first owner of the copyright — unless there is an agreement to the contrary. If you want to keep the copyright and use the photos in your portfolio or on social media, or to limit how a commercial client may use them, say so in writing. A line in the bill's footer, backed by your contract, such as "Copyright retained by the photographer; client licensed for personal use; photographer may use images for portfolio", makes the arrangement clear. For commercial shoots, specify the licence — where, how long, and for what media.

Advances, balances and payment schedules

Photography is usually paid in stages: a booking advance to block the date, a second payment on the event day, and the balance on delivery. Write the schedule in the footer and issue a receipt for each payment showing the remaining balance. If you take the booking advance months ahead, state whether it is refundable if the client cancels, and on what notice — that clause prevents most disputes.

GST on photography services

Photography and videography are services, generally taxed at 18% GST for registered photographers and studios. Many freelance photographers are below the registration limit for services (₹20 lakh a year in most states) and cannot charge GST; once registered, show your GSTIN and the tax on every bill. For clients in other states or abroad, place-of-supply rules decide whether CGST + SGST, IGST or zero-rated export treatment applies — check with your accountant.

Photo studio walk-in bills

Photo studios also handle quick jobs: passport and visa photos, prints, lamination, framing, photo restoration. Use the counter-slip template — "Passport photos × 8 copies", "Print 8×10 × 2", "Frame 12×18 × 1" — and give a receipt with the collection time. These small bills add up, and numbered receipts make it easy to count daily takings.

Photography bill format in PDF, Word or Excel

Photographers often search for a photography bill format PDF, a photography bill format Word file, a photography bill format Excel sheet, or even design files. This generator gives you the photography invoice format with coverage, deliverables and payment schedule ready, calculates the totals, and exports a polished PDF with your logo — no design software needed. Keep each client's bill with their contract and gallery link.

Need the bill in Word? Click Word under the bill to download it as a .docx file, at the same A4, A5 or 80 mm thermal size as the PDF. It opens in Microsoft Word and Google Docs. The bill is placed in the file as a picture, so make any changes here and download it again.

Quotations before the booking

Most photography clients ask for a quotation before booking, often comparing three or four photographers. Use the same layout with the title "Quotation", list two or three package options with their deliverables, and add a validity date. When the client books, convert the chosen package into a bill with the advance received. Because the quote and the bill share the same descriptions, the client can see exactly what they chose — and you avoid "but I thought the album was included" months later.

Delivery delays and expectations

The most common complaint against photographers is late delivery. Write realistic timelines on the bill — editing a wedding takes time — and update the client if they change. If you offer a rush delivery for an extra charge, put it on the bill as its own line with the promised date. Clients are far more patient when the timeline was written down from the start. A short message when the photos are halfway edited — with two or three previews — keeps clients happy while they wait, and makes the balance payment on delivery much smoother.

Photography bill book

Some studios still use a printed photography bill book format with carbon copies for walk-in work. Choose the bill book style here for the same look, while every bill is totalled and saved as a clean file. For weddings and events, the letterhead style with your logo looks more polished alongside your contract and portfolio.

Corporate, product and event shoots

Commercial clients want a photography invoice format with their company name, address and GSTIN, a purchase order number if they gave one, the shoot date, deliverables and the licence for use. Bill per day or half-day, per product or per final image, and list retouching, studio rental, props, models and stylists separately. For events such as conferences, write the coverage hours and the delivery date for selected images, which are often needed the same day. Corporate accounts teams also look for your PAN, since they may deduct TDS on professional fees.

More photography invoice examples

Different shoots call for different lines. A few photography invoice examples:

  • Newborn or maternity session: "Studio session, 3 hours, 2 outfits, props included — 25 edited images", plus prints or an album as add-ons.
  • Pre-wedding shoot: "1 day, 2 locations, 1 photographer + 1 videographer — 80 edited photos, 2-minute film", with travel and location permits at actual.
  • Product shoot: "White-background product photos — 40 products × 3 angles = 120 images @ ₹250", with lifestyle shots and retouching priced separately.
  • Real estate: "Interior and exterior photos, 2 BHK, 25 edited images, delivery 48 hours", with drone shots as an add-on.
  • Event coverage: "Corporate conference, 6 hours — 150 edited images, same-day selection of 20".

Photographer bill format for freelancers and second shooters

Freelance photographers who work as second shooters or assistants for other studios bill the studio, not the client. A simple photographer bill format works: your name and contact, the studio you are billing, the event and date, your role and hours, the agreed fee, travel, and your payment details. Studios pay faster when freelancers send a proper bill the day after the event rather than a message asking for money.

Photo bill format for prints and albums

For print orders, a photo bill format lists each print size and finish with quantities — "4×6 glossy × 120", "8×12 matte × 10", "Canvas 16×20 × 1" — and album details such as size, pages, cover material and box. Customers ordering albums often pay an advance when they finalise the photo selection; record it and give a delivery date. This is where a photography bill maker that calculates sizes and quantities saves time.

Video and editing only

Editors and videographers who only edit footage can bill per minute of final video, per project, or per hour. Write the input (footage hours), output (final duration and formats) and revision rounds included, and bill additional revisions separately.

Photography bill checklist

  • Event, dates, venue and coverage hours.
  • Crew: photographers, videographers, drone.
  • Deliverables with numbers and durations.
  • Delivery timeline and format (gallery, drive, album).
  • Advance, payment schedule and balance.
  • Usage rights and cancellation policy.

Related bill types

Event caterers and venues may use the restaurant bill; freelancers in other creative fields can use the freelancer invoice; and printing jobs fit the stationery and print shop bill. See all types on the handwritten bill generator page.

Fair use

Issue photography bills only for shoots you were booked for and services you provided. Making a bill for a shoot that didn't happen — to claim expenses or inflate an event budget — is fraud.

Photography bill FAQs

What should a photography bill include?

Your studio name and contact details, client name, event type and date, the package items such as coverage hours, edited photos, albums and video, the price of each, taxes, advance paid and balance.

Can I show the advance and balance?

Yes. Enter the booking advance in Bill settings and the bill shows the balance due on delivery of the photos, album or video.

Can I add my studio logo?

Yes. Use the Add tab to upload your logo and drag it to the top of the bill. It is included in downloads but left out of share links.

Does it work for photo studio walk-ins?

Yes. Use a simple template for walk-in jobs such as passport photos, prints, lamination and frames, with the number of copies as the quantity.

Can I add travel charges?

Yes. Add travel, accommodation or extra-hour charges as separate lines with their amounts, so the client sees what they cover.

What should a photography invoice include?

Your studio details and GSTIN if registered, client and event details, coverage (crew, hours, days), deliverables with numbers and durations, other charges, total, advance and balance, delivery timeline, usage rights and cancellation terms.

Who owns the copyright in commissioned photos in India?

Under the Copyright Act, when a photo is taken for payment at a client’s request, the client is the first owner of copyright unless there is an agreement to the contrary. Photographers who want to keep copyright should say so in writing.

What is the GST on photography services?

Photography and videography are generally taxed at 18% for registered providers. Freelancers below the registration limit cannot charge GST. Place-of-supply rules decide the treatment for clients in other states or abroad.

How much advance should a photographer take?

There is no fixed rule; many photographers take a booking advance to block the date, a second instalment on the event day and the balance on delivery. Write the schedule and the refund policy on the bill.

How do I list deliverables on a photography bill?

Use numbers and durations: "600+ edited photos via online gallery", "5-minute highlight film", "90-minute full film", "Album 12×36, 40 pages", with delivery timelines. Vague deliverables cause most disputes.

Is there a photography bill format in PDF or Word?

This generator gives you a photography bill format with coverage, deliverables and payment schedule ready, calculates totals, and downloads a PDF with your logo — no Word or design file needed.

How do I bill a corporate photo shoot?

Add the company’s name, address, GSTIN and PO number; bill per day, half-day, product or image; list retouching, studio, props and models separately; and state the licence for use.

Should raw files be included?

Many photographers don’t include raw files by default, or charge extra for them. Whatever you decide, write it on the bill — "Raw files not included" or "Raw files on request at ₹X".

How do I write a cancellation policy on a photography bill?

State whether the booking advance is refundable and on what notice — for example, refundable minus a fee if cancelled 90 days before, non-refundable within 30 days — and what happens if the event is postponed.

Can I add travel and accommodation charges?

Yes. Add them as a separate line, or "at actual" with receipts, for outstation events. Clients see clearly what the coverage costs and what the travel costs.

How do photo studios bill passport photos and prints?

Use the counter slip: "Passport photos × 8", "Print 8×10 × 2", "Frame 12×18 × 1", with rates and the collection time. Number every receipt to count daily sales.

Can I bill clients abroad?

Yes. Change the currency in Bill settings; the amount in words follows. Services to clients abroad may qualify as exports for GST — check with your accountant.

How do video editors bill?

Per project, per minute of final video or per hour. Write the footage provided, final duration and formats, and revision rounds included; bill extra revisions separately.

Can I add my portfolio link to the bill?

Yes. Add your website or Instagram handle in the header or footer. Many clients share bills with family or colleagues, which makes it a small piece of marketing.

Should the event date be on the bill?

Yes, always — with the venue and coverage hours. It ties the bill to a specific booking and helps if the date changes and the booking has to be moved.
