Supermarket bills: long lists, clear totals
A supermarket bill is the longest bill most customers ever receive: thirty or forty lines of groceries, toiletries, snacks and household items, each with a quantity, an MRP and a selling price, a few offers, a carry bag, and a total that has to be right the first time. In a large chain, a barcode scanner and billing software produce it in seconds. In a neighbourhood mini mart, departmental store or a newly opened store whose software isn't set up yet, the bill is often written or typed by hand — slowly.
This supermarket bill generator gives you a clean, handwritten-style mart bill with all the arithmetic done: quantity × rate, savings against MRP, discounts, GST where it applies, the item count and the total in words. Download it as a PDF on A4 for long bills or an 80 mm thermal PDF for a receipt printer, or send it as an image.
Supermarket bill format
A complete supermarket bill format includes:
- Header: store name, branch address, phone, GSTIN and, if you like, opening hours or a website.
- Bill details: bill number, date and time, counter or cashier name, and the customer's phone for loyalty points.
- Item table: item description with pack size, quantity, MRP, selling rate and amount.
- Offers: "Buy 2 get 1" items and discounts on their own lines, so the customer can see what they saved.
- Totals: number of items, subtotal, discounts, GST summary if registered, total, amount tendered and change returned.
- Footer: return and exchange policy, "You saved ₹…", and a thank-you line.
How to make a supermarket bill
- Choose a template. The tax-invoice and plain styles handle long tables well; the counter slip prints on thermal rolls.
- Enter your store's header — saved in this browser.
- Add items. Use Add item for each product, with pack size in the name ("Sunflower oil 1 L"), quantity and the selling price. Put the MRP in brackets in the item name if you want to show it.
- Apply offers and discounts in Bill settings, as a percentage or a fixed amount.
- Choose a page size — A4 for long bills, thermal 80 mm for the counter — and download or print.

Supermarket bill sample
| Item | Qty | Rate (₹) | Amount (₹) |
|---|---|---|---|
| Sunflower oil 1 L (MRP 180) | 2 | 165 | 330 |
| Basmati rice 5 kg (MRP 650) | 1 | 599 | 599 |
| Toothpaste 150 g (MRP 110) | 2 | 99 | 198 |
| Instant noodles (pack of 6) | 1 | 84 | 84 |
| Dishwash bar (pack of 3) | 1 | 60 | 60 |
| Bananas (dozen) | 1 | 60 | 60 |
| Total (8 items) | 1,331 | ||
| You saved against MRP | 133 | ||
The "You saved" figure is the difference between the MRP total and what the customer paid; write it as a footer note. The item count is the total quantity — useful when a customer checks their bags against the bill.
MRP, offers and carry bags — the rules that matter on the bill
- Never charge more than MRP. For packaged goods, the maximum retail price printed on the pack is a ceiling under India's legal metrology rules; selling above it is an offence. Selling below MRP is fine.
- Show offers on the bill. If "buy 2 get 1 free" applies, list the free item at ₹0 or as a discount line, so the customer can see the offer was given.
- Carry bags: consumer commissions in India have penalised stores for charging customers for carry bags printed with the store's own branding. If you charge for bags, use plain bags, tell customers before billing, and show the bag as its own line.
- Return policy: a line like "Goods once sold will not be taken back" does not remove a customer's right to return defective goods under consumer law. Write a fair, specific policy instead — for example, "Exchange within 7 days with bill; perishables excluded".
Supermarket bill with GST
A registered supermarket issues tax invoices, and because products carry different GST rates — exempt fresh produce, loose staples, and packaged foods, cosmetics and household goods at their own rates — a supermarket bill with GST usually ends with a GST summary showing the taxable value and tax at each rate. Many rates changed in the September 2025 GST revision, so confirm rates for your products. In this generator, the simplest approach is to enter tax-inclusive selling prices on each line and add the GST summary as a footer note prepared from your rate list; or, if most items share one rate, add CGST and SGST rows in Bill settings. A store below the registration limit, or under the composition scheme, must not add GST.
How billing in a supermarket works — for new billing staff
"How to do billing in a supermarket" is one of the most searched questions from people starting a billing or cashier job. The steps are the same everywhere:
- Greet the customer and ask for their phone number if the store runs a loyalty programme.
- Scan or enter each item, checking the pack size and the quantity on screen against what is on the counter.
- Weigh loose fruit, vegetables and bulk items, and enter the weight.
- Apply offers and coupons, and check the "free" items show at zero.
- Tell the customer the total, take payment (cash, card or UPI), and count change back to them.
- Hand over the bill and bag the items, keeping heavy items at the bottom.
Practising with this generator is a quick way to get used to totals, offers, change calculation and long bills before your first shift — no software login needed.
Supermarket bill format in Excel or Word
A supermarket bill format in Excel or a supermarket bill format Word file can work for a small store's first few weeks, but long lists in a spreadsheet are slow at the counter and formulas break when rows are added. This generator handles any number of lines, counts items, and downloads a print-ready PDF. For a store with heavy daily traffic, billing software with a barcode scanner is the long-term answer; this tool is ideal for the gap before it, for home delivery orders, or as a backup when the system is down.
Need the bill in Word? Click Word under the bill to download it as a .docx file, at the same A4, A5 or 80 mm thermal size as the PDF. It opens in Microsoft Word and Google Docs. The bill is placed in the file as a picture, so make any changes here and download it again.
A mart bill generator for mini marts and new stores
Mini marts, departmental stores and new supermarkets often open before their billing software is ready, or keep a manual backup for power cuts and system failures. A mart bill generator that works on a phone fills that gap: staff can make a neat bill at the counter, the totals are always correct, and every bill is downloaded with a running number so it can be entered into the system later. Fresh-produce counters, home-delivery desks and weekend stalls run by the store can use it the same way.
The same tool works as a market bill format for a weekly market stall — vegetables, clothes or household goods — where the seller wants to hand a written bill to a customer buying in bulk.
What a supermarket bill receipt is for
Once a bill is paid, it becomes the customer's supermarket bill receipt — proof of purchase for exchanges, warranty claims on small appliances, and loyalty or cashback disputes. That is why the bill should show the date, store branch, every item with its pack size and the payment mode. Customers should keep receipts for anything they might return, and stores should keep their copies for at least as long as their return period and their tax-record rules require.
How to billing in supermarket: practice exercises
If you are preparing for a billing job, try these exercises with the generator: make a 30-line bill and check the item count; apply a 10% discount and a "buy 2 get 1" offer on the same bill; work out the change from ₹2,000 for a bill of ₹1,331; and bill 0.65 kg of apples at ₹180 per kg. Speed comes with practice, but accuracy comes from checking every line against the product on the counter.
Supermarket bill for kids — play shop and maths practice
Parents and teachers often look for a supermarket bill for kids to use in pretend play or classroom maths. Children can "run" a shop, write items and prices, and see how quantity × rate, totals and discounts work; older children can check whether a "buy 2 get 1" offer is really cheaper than a 30% discount. Choose a colourful bill style, use round numbers, and print a few blank bills for play.
Long bills: tips for readability
- Group items by section — groceries, personal care, household — if you write the bill by hand from a list.
- Keep descriptions short but include the pack size.
- Use A4 for more than about 25 lines, or the thermal PDF, which grows to fit any length.
- Print the item count, and the amount tendered and change returned for cash.
- Number every bill and keep a copy; it helps with returns and loyalty disputes.
Related bill types
Smaller neighbourhood shops may prefer the kirana store bill; stores selling mostly staples by weight can use the grocery bill; and bulk sales to shops are better on a wholesale bill. See every type on the handwritten bill generator page.
Fair use
Use supermarket bills for your own store's real sales, for training and teaching, or for design mockups. Do not create a bill in the name of a real supermarket chain, or for a purchase that did not happen, and do not alter a real bill — that is fraud. If you need a lost bill from a chain store, ask the store; many can reprint it or send it to the phone number you used for loyalty points.
